Qualifications

Accountability & Objective

Our Receptionists are the heart of our community – they are our guest experience ambassadors! Welcoming guests into our community with a smile, and setting the tone for their experience, Receptionists are responsible for providing exceptional customer service while upholding a high standard of excellence which represents a key value of our residences. Under the direction of the Office Manager, they provide administrative support including clerical and reception duties for the efficient operation of the residence.

Background/Qualifications
  • Minimum of grade 12 education required.
  • Minimum two years experience in a receptionist or clerical role within a hospitality setting is considered an asset.
  • Basic bookkeeping experience is preferred.
  • Proven typing and general office administration skills.
  • Effective communication skills, both written and verbal, in English.
  • Ability to work with minimal supervision and demonstrate strong problem-solving skills.
  • Proficient in computer skills (Microsoft Office Suite, Word, Excel).
  • Demonstrated multi-tasking skills and ability to work independently and in a team.
  • Resident-oriented individual whose values align with those of the residence.
Key Responsibilities
  • Participate in and adhere to continuous quality improvement standards.
  • Welcome and greet residents and visitors; answer and direct telephone calls professionally.
  • Assist in ordering, maintaining, and monitoring office supplies and inventory.
  • Handle inquiries, including marketing calls, and direct them appropriately.
  • Coordinate with Marketing for resident move-ins, including welcome packages, orientations, and key allocations.
  • Provide clerical support to management and staff (data entry, photocopying, filing, spreadsheets, etc.).
  • Monitor incoming and outgoing residents, guests, and visitors to ensure security.
  • Maintain a tidy reception area.
  • Process mail, accept deliveries, and manage paperwork flow.
  • Record and store lost property.
  • Track guest meals and revenues using POS systems and other services.
  • Manage communications and public relations with residents, families, staff, and the public.
  • Assist with setup and takedown of programs, activities, and events as needed.
  • Create and distribute daily resident census reports.
  • Maintain contact lists (residents, emergency contacts, families).
  • Ensure effective communication with co-workers and supervisory staff.
  • Perform other duties as assigned.
  • Comply with all policies, mandatory training, and safety regulations, including health and safety legislation and fire prevention programs.
