Job description

About Us:
MPS Executive Suites is a well-established, locally owned professional business centre located in the heart of Vancouver’s West Broadway corridor. For over 42 years, we’ve provided comprehensive on-site and virtual office services to a diverse range of clients, from startups to national organizations. Our close-knit team thrives in a dynamic, fast-paced environment rooted in professionalism, reliability, and client care.
Important:
This is a long-term, in-office role for candidates seeking a professional environment with stable hours and responsibilities.

We are looking for someone who has office reception experience, who values structure, enjoys working independently within established processes, and takes pride in delivering exceptional client service every day.

About the Role:
Are you a proactive, detail-driven professional who thrives in a high-energy setting? We're seeking a Reception & Office Administrator to be the welcoming face and operational anchor of our business centre. This is not your typical front desk role — you’ll be responsible for supporting over 200 clients with a wide range of reception, administrative, and coordination services.

You’ll manage a busy multi-line switchboard, handle high volumes of mail and courier services, coordinate meeting spaces, and maintain vital office procedures. Accuracy, professionalism, and the ability to prioritize tasks independently are essential to success in this role.

Our office operates in a traditional business environment with professional dress expectations and a combination of both modern and legacy administrative systems. Comfort with following established procedures and working within structured processes is critical.

Key Responsibilities:
  • Greet visitors and clients with a professional, polished demeanor.
  • Manage a busy multi-line switchboard: answer, screen, and direct calls efficiently.
  • Handle daily incoming/outgoing mail and arrange courier pickups.
  • Coordinate meeting room bookings across physical and digital calendars.
  • Perform administrative tasks including scanning, faxing, photocopying, printing, and emailing.
  • Maintain and update office procedures and manuals as needed.
  • Provide basic document support including typing, formatting, and proofreading.
Who You Are:
  • Experienced: 1–2 years of professional front desk, reception, or administrative support experience.
  • Fluent Communicator: Exceptional verbal and written English communication skills, with outstanding spelling, grammar, and handwriting.
  • Organized & Detail-Oriented: You excel at managing multiple tasks in a fast-paced environment without sacrificing accuracy.
  • Professional & Reliable: You present yourself and your work with consistency, professionalism, and pride.
  • Tech-Savvy: Proficient with Microsoft Office and Windows; comfortable working with a blend of modern and legacy office systems.
  • Proactive Problem-Solver: Able to think ahead, manage competing priorities, and take ownership of your role.
  • Team-Oriented: Positive, collaborative, and eager to contribute to a close-knit, supportive team.
Compensation & Benefits:
  • $21.00 per hour.
  • Full-time hours: Monday to Friday, 8:15 am to 5:00 pm.
  • Extended health benefits package available after 3 months.
  • Vibrant, professional work environment in Vancouver’s West Broadway business district.
  • Long-term growth and development potential within a stable, established organization.
How to Apply:
Please submit your resume and a short cover letter to the Management Team at Offices@OfficeSpaceVancouver.com.
