Job description

Reporting to the Finance Manager, the Receiving & Office Assistant plays a vital role in supporting day-to-day operations across procurement, finance, and general office administration. Responsibilities include processing purchase orders, assisting with onboarding, event coordination, and reception duties. This role requires strong organizational skills, attention to detail, and a collaborative mindset.

Note: This is a contract position until December 31, with potential for extension. The role is based in-office in Lethbridge, Alberta, and follows standard business hours, Monday to Friday.

How You’ll Add Value
  1. Support a strong safety culture by promoting safe practices
  2. Receive and process incoming materials in Dynamics 365 from approved purchase orders
  3. Perform accurate data entry, document scanning, and filing (both electronic and physical)
  4. Monitor and reorder office and pantry supplies to maintain inventory and ensure smooth operations
  5. Provide general administrative support, including reception duties, answering calls, and handling inquiries
  6. Assist with office events and lunches, including setup and coordination
  7. Support employee onboarding with payroll system login and training setup
  8. Generate paystubs, ROEs, and other payroll documents as needed
  9. Provide backup support to the Interim Purchaser as required
  10. Assist the accounting team with administrative and financial tasks during peak periods
Qualifications & Experience
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook)
  • Familiarity with ERP systems like Dynamics 365 is an asset
  • Excellent communication skills, both verbal and written
  • Discretion and professionalism in handling sensitive information
  • Strong attention to detail, accuracy, and organization
  • Ability to adapt to changing priorities in a fast-paced environment
  • Available for immediate start preferred
