How You Will Make An Impact

We are seeking a highly organized and analytical Real Estate Program coordinator to support the successful execution of capital projects within our real estate portfolio. This role is an integral part of the Real Estate Team, ensuring projects are delivered on time, within scope, and on budget by coordinating activities, analyzing financial data, and collaborating with cross-functional teams. The ideal candidate will have a strong background in project coordination, financial monitoring, and data-driven decision-making to optimize project outcomes. Reporting to the Director, Real Estate Operations , this role will play a key part in executing real estate initiatives, managing financial performance, and driving efficiencies across leasing, construction, and facilities projects.

Project Coordination & Analysis

As the Real Estate Program coordinator, you will be responsible for the following areas around Project Coordination and Analysis:

- Support Real Estate in the planning, execution, and tracking of multiple projects across various stages of development.

- Analyze project performance metrics to identify trends, variances, and opportunities for optimization.

- Develop and maintain comprehensive project documentation, including timelines, and deliverables tracking.

- Monitor project risks and proactively escalate issues with recommendations for resolution.

- Contribute to the development of contingency plans and mitigation strategies.

You will be responsible the following areas around Financial Monitoring & Reporting:

- Assist in preparing and managing project budgets, ensuring alignment with financial forecasts and business goals.

- Track and analyze construction spending, vendor invoices, and purchase orders to ensure adherence to budgets and contracts.

- Provide detailed financial reports to project stakeholders, highlighting variances and recommending corrective actions where needed.

- Assist in collaborating with finance team to monitor capital expenditures (CapEx) related to projects.

- Identify process inefficiencies and recommend improvements based on data analysis.

Stakeholder Engagement:

You will be responsible for the following areas around Stakeholder Engagement:

- Act as a liaison between internal teams, vendors, and contractors to ensure seamless communication and alignment on project objectives.

- Facilitate project meetings, capturing key decisions, action items, and next steps.

- Support the coordination of contract negotiations and vendor performance evaluations.

- Work closely with cross-functional teams, including Real Estate, Finance, and Operations, to align project goals and execution strategies.

- Foster a collaborative work environment by sharing insights, best practices, and lessons learned across all functional streams under the Real Estate umbrella.

- Demonstrate a capacity to lead team members toward the successful delivery of projects ensuring accountability of their respective deliverables.

- Provide guidance and mentorship to junior team members, enhancing their understanding of real estate processes and project management best practices.

- Support leadership in driving continuous improvement initiatives, ensuring projects are completed efficiently and in alignment with business objectives.

- Support any other ad-hoc real estate functions, including but not limited to leasing, facilities, etc.

Qualifications

  • University/College Degree in Business with3-5 years’ experience in a project management capacity and experience in leading projects across multiple departments
  • Sound knowledge of project management principles and methodologies
  • Exhibit excellent communication (both verbal and written), organizational, problem-solving, and analytical skills
  • Experience with project management tools such as Insight and Asana
  • High-level of customer service with demonstrated ability to build and maintain strong working relationships with both internal and external stakeholders
  • Strong financial acumen, with experience in budget tracking, cost analysis, and financial reporting
  • Provide a high level of attention to project details
  • Ability to multi-task, proactively prioritize and manage workload, and finalize projects
  • Ability to work autonomously and manage one’s time
  • Quick learner and flexible with the ability to adapt to change
