As a Senior Real Estate & Facilities Coordinator, you will be responsible to support key administrative functions of the Canada-wide Real Estate & Facilities Department. They will play a critical role in supporting real estate & facilities team initiatives and ensuring a smooth flow of department operations. They will oversee daily real estate & facilities administrative tasks and project timelines.

How YOU Will Make a Difference

  • Maintain accurate and up-to-date records of all ongoing real estate & facilities projects in the national portfolio management database
  • Act as administrator for facilities vendors and manage the vendor database to create facilities vendor reports and dashboards that provide visibility on critical data to the real estate team & facilities stakeholders
  • Ensure timely execution and circulation of all real estate department legal documentation, including all leases, lease renewals and amending agreements
  • Administration of the Real Estate Management (REM) database system and Lease Payments system including all lease information, maintaining and updating site files including insurance certificates, lease abstracts, etc. in accordance with prescribed standards
  • Support the creating and circulating Capital Expenditure Requests
  • Circulation and polling of all required estoppel certificate work, coordinating with legal to ensure timely review and execution
  • Coordinate internally to prepare ancillary real estate documents such as waiver letters, non-disturbance letters, etc.
  • Facilities Vendor Management – support regional Facilities Managers and Sourcing with performance and be solutions focused such as contracting out facilities services
  • Support RFPs and establish a network to support the operation
  • Assist with the communication of information in a concise and timely manner to all staff regarding policy and facility changes and other pertinent issues
  • Assist with various research and analytical work related to the company’s existing sites and potential site selection
  • Responds to external landlord and internal stakeholder inquiries with regard landlord/tenant issues

Technical Skills

What YOU bring to the role:

  • Experience in facilities help desk ticketing systems
  • Experience in portfolio lease administration processes and systems
  • Basic knowledge of commercial building infrastructure and related systems
  • Full proficiency with MS Office Suite (including Word, Excel, PowerPoint, Outlook), Docusign and G Suite

Social Process Skills

  • Strong organization, communication skills and time management skills
  • Ability to work in a fast-paced team environment
  • Superior demonstrated understanding of the principles and processes for providing customer service, including strong written and oral communications with the goal of exceeding quality standards for services
  • Capacity to effectively communicate to the management teams
