This position reports to

National Real Estate Manager

Your role and responsibilities

We are seeking a detail-oriented and proactive Real Estate Analyst to support the seamless operation of real estate, facilities, and finance functions. This role bridges administrative, operational, and financial tasks, ensuring up-to-date records, timely payments, vendor onboarding, and effective internal coordination across multiple departments. Key Responsibilities:

Real Estate and Facilities Support
  1. Maintain and continuously update internal real estate databases and the department website.
  2. Oversee initial setup and ongoing management of utility accounts; ensure timely invoice retrieval, submission, and payment tracking.
  3. Organize and manage digital real estate files and documents using SharePoint.
  4. Support the vendor onboarding process, including Ariba qualification procedures.
  5. Handle purchase requisitions (PRs) and complete "After the Fact" purchase order forms.
  6. Request and manage Certificates of Insurance (COIs).
  7. Provide administrative support for the Robin Reservation System; keep system information current.
  8. Coordinate and manage Framework Purchase Orders.
  9. Potential to support FMX system training and administer facility management tasks (e.g., access card management, vendor coordination) during peak periods or FM absence.

Finance and Administrative Coordination
  1. Act as a primary liaison among Real Estate Managers, Facility Managers, and the Payables Team to ensure timely and accurate payment processing.
  2. Monitor and follow up on payments and receivables with internal stakeholders (e.g., Payables Team, AY), helping prevent delays and duplicate payments.
  3. Partner with Facility managers, RE controller & Payable team to ensure precise PO coding aligned with appropriate General Ledger (GL) and Internal Order (IO) allocations.
  4. Perform various ad hoc finance-related tasks, including: Reconciling statements of accounts, reviewing and validating energy bills, evaluating real estate purchase orders and recommending improvements, supporting other financial reconciliation needs as required.
  5. Coordinate and manage Framework Purchase Orders.

Qualifications for the role

  • 3-5 years experience in a similar role
  • Proven experience in finance.
  • Strong understanding of utility account management, vendor processes, and PO systems.
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and SharePoint; knowledge of SAP, Ariba, or Robin systems is a plus.
  • Excellent organizational and multitasking abilities.
  • Strong communication and stakeholder coordination skills.
  • Detail-oriented, with a proactive approach to problem-solving and follow-up.
  • DEC in finances or administration.
