Who we’re looking for
We are looking for a talented individual to join the Technology team supporting the SVP, Technology Strategy, Innovation & Partnerships. The role provides advanced, confidential executive and administrative assistance to the SVP, with initiative and judgment. The position also involves project coordination related to Government of Canada radio spectrum auctions, requiring strong coordination, project management and financial administration skills, excellent communication, and the ability to manage multiple priorities efficiently.
What you’ll do
- Provide a wide variety of senior administrative support.
- Coordinate frequency assignments and ensure compliance with national and international spectrum regulations.
- Proficient use of Microsoft Office (Outlook, Word, Excel, PowerPoint); experience with Microsoft Project is a plus.
- Provide executive administrative support to the SVP and other executives, including calendar management, travel arrangements, meeting coordination, invoicing, and budget tracking.
- Coordinate spectrum auctions with internal and external resources, track meetings, finances and human resources (including work permits, budgets and expenses), supplier ordering and procurement logistics before, during, and after auctions.
- Prepare and edit correspondence, reports, presentations and other documents as required.
- Proactively manage ambiguity and changing priorities, including ad-hoc business requests.
- Coordinate with external clients for meetings, calls and special events.
- Maintain departmental daily operational workflow and respond to inquiries/requests.
- Handle highly sensitive and confidential matters.
- Miscellaneous department purchases and orders including general office needs.
- Manage financials, invoicing and budgets; oversee timekeeping and vacations.
What you bring
- Ability to work independently and in a cross-functional, shifting environment with non-direct reports.
- High attention to detail, accuracy, and follow-up.
- Ability to handle confidential information and complex situations with discretion.
- Comfort with technology and a technology-focused team.
- Bachelor’s degree in Telecommunications, Engineering, Business Administration, or related field.
- 3+ years of experience in spectrum coordination or RF planning.
- 2+ years of experience in executive or administrative support.
- Experience with project management and coordinating complex projects.
- Familiarity with spectrum management tools and regulatory frameworks.
- Broad administrative or business experience supporting senior management executives.
- Advanced competence with MS Office (Word, PowerPoint, Excel, email); experience with Microsoft Project is a plus.
- Ability to work independently as well as in a team environment.
- Willing to work flexible hours to meet deadlines.
