The Role

Reporting to the Technical Services Quality Manager, the Quality Services Sample Coordinator, will:

  • Manage the complete process of frozen and canned samples production and delivery for business development projects including new products and new customers (Samples for food shows, industrial contracts, bids, projects, new product launches, photography, benchmarking, clear out product, lab analysis, etc.) for sales, marketing, quality, I&D, etc.
  • Coordinate and assign sample requests to the appropriate plant, and follow up to ensure that they are sent;
  • Prepare lab samples when necessary to meet customer expectations and requirements;
  • Assist in providing information for specification creation;
  • Assist I&D Project Managers on new product plant trials or 1st production follow-ups;
  • Coordinate or assist the preparation of benchmarking samples;
  • Maintain a finished product and bulk sample library/inventory;
  • Aid sales/marketing/I&D/etc in providing specific product information to accurately reflect expectations (for a bid, project etc);
  • Maintain and order all shipping and sample supplies (cartons, dry ice, bags, etc);
  • Order product from plant/warehouses for sample requests;
  • Manage and coordinate sample shipments via couriers or trucking companies with facility personnel;
  • Set up FedEx/UPS waybills, including customs documentation, for sample shipments and I&D shipments;
  • Assist plants with sample shipments when necessary;
  • Oversee all facilities adherence to the corporate sample preparation procedure;
  • Track packages for delivery and communicate tracking numbers;
  • Maintain and update sample request form as needed;
  • Manage summary request tracking sheet on Google Drive of all samples sent;
  • Take pictures of product, case, poly codes etc., in a presentable fashion;
  • Conduct internal audits per request of QA department as needed.

Your Profile

  • Minimum 2 years experience in a food related industry;
  • Ability to work on complex or numerous projects in support of Sales, I&D projects, Quality, and Marketing;
  • Familiarity with quality standards and customer expectations;
  • Understanding of standard quality grading for vegetables;
  • Computer literacy (Google Drive, Office, etc);
  • Strong communication and interpersonal skills;
  • Excellent organizational skills;
  • Accuracy and attention to details is necessary;
  • Ability to work independently, as well as in a team environment;
  • Customer service oriented;
  • Resourceful and solution oriented;
  • Be able to lift and move sample cases weighing up to 30 lbs.
