QUALITY & ORGANIZATIONAL PERFORMANCE COORDINATOR

TEMPORARY FULL TIME (12 MONTH CONTRACT)

The position supports the development, and implementation of a comprehensive document management system. This position will be instrumental in revising, writing, and organizing controlled documents. Additionally, the position will support quality improvement projects and initiatives that are being designed and implemented across the organization.

Please note: This contract is filling an extended medical leave. The contract may end early or be extended with two weeks’ notice.

KEY DUTIES & RESPONSIBILITIES

Document Control

  • Write and review Policy and Procedure documentation
  • Implement a new document management system across the organization
  • Organize controlled documents in a document management system
  • Set up workflows within the document management system to ensure a document will pass through appropriate review channels before approval.
  • Assist with training and roll out of the document management system to staff

Quality Improvement

  • Support the development and progress of quality improvement initiatives across the organization
  • Use technology to implement more efficient processes for data collection and report back
  • Understand and use the model for improvement framework in designing quality improvement initiatives
  • Support QI data collection and analysis

Project Management

  • Manage all aspects of a project through the project lifecycle, including: initiation, scope definition, identification and oversight of project resources (internal and external); monitoring and reporting of project progress/status; risk mitigation and resolution of issues, course correction, and ensuring quality of project deliverables.
  • Works closely with relevant internal staff and leadership to define project parameters and develop detailed project documentation including business requirements, project charters, project plans, project schedules, workflow solutions, and project status reports/communications.
  • Conducts the research and implementation of tools, methodologies, and best practices to promote, support and drive innovation.
  • Provides project management expertise on strategies for generation of ideas, creative thinking, and development of process improvements for their individual programs and services.
  • Support risk management process, documentation and follow-up
  • Support Manager of Quality and Organizational Performance with Accreditation Prep, survey and follow-up as need
  • Lead the Client engagement survey blitz

Hours of work are 37.50 per week. The normal workday is 8 hours, including a 30-minute unpaid lunch break. Working in a busy office environment with frequent interruptions. Some evening and weekend work may be required.

What you will bring

  • College diploma in a relevant program
  • Minimum 2 years’ related experience
  • PMP Certification or equivalent combination of education and experience in leading medium to large projects in the community health sector would be preferred
  • Knowledge of project management methodologies, tools and industry standards and best practices.
  • Knowledge of healthcare field especially mental health and addiction services
  • Excellent time management skills, and the ability to be versatile and adjust quickly in a dynamic and changing environment.
  • Project Management experience supporting medium to large projects
  • Controlled document management experience including writing and revising technical policy and standard operating procedure documentation
  • Experience using a documentation management platform is an asset
  • Strong interpersonal, leadership, and organizational skills
  • Excellent computer skills, specifically Microsoft Office Suite applications
  • A capacity to work collaboratively with internal and external partners.
  • Task oriented with a strong initiative for establishing personal goals and taking responsibility for meeting them within defined timeline.
  • A valid Canadian driver’s license and the use of a reliable personal vehicle
  • Minimum $2,000,000 third party liability vehicle insurance
  • A satisfactory police record check including vulnerable sector screening
