About the Role
Reporting to the Logistics and Supply Chain Supervisor, the Purchasing Officer is a key member of Canada Royal Milk’s Logistics & Supply Chain team. This role is responsible for sourcing and qualifying suppliers, establishing and maintaining supplier relationships, negotiating and managing contracts, placing purchase orders, and ensuring cost control and efficiency.
All procurement activities must comply with Canada Royal Milk's standards for quality, food safety, and traceability.
The Purchasing Officer will work collaboratively with all departments—particularly Quality Assurance, Supply Chain, Engineering, Production, and the R&D team—and will liaise regularly with Feihe’s purchasing team in Beijing, China. The Officer will also support the Supervisor in initiatives to achieve departmental and organizational goals.

Applicants must be legally entitled to work in Canada and have strong English language skills. The ability to read and understand written English and communicate in English both spoken and in writing is a requirement of the job.

Key Duties and Responsibilities
1.Coordinate with internal departments (Production, QA, Engineering, etc.) and external partners (suppliers, freight forwarders) to ensure timely availability of ingredients and packaging materials.
2.Manage and mitigate issues related to non-conforming materials or products.
3.Source and develop potential suppliers, both domestic and international; collaborate with QA to audit and approve suppliers.
4.Maintain an up-to-date and approved vendor/supplier database.
5.Evaluate and negotiate complex or strategically important contracts to ensure optimal terms and conditions for the organization.
6.Analyze purchasing cost data and collaborate with management to forecast demand and optimize ordering strategies.
7.Develop strong product knowledge to support procurement decision-making and communication with vendors.
8.Prepare and deliver regular procurement reports and performance updates to management.
9.Lead and manage procurement-related projects as assigned.
10.Negotiate with suppliers to drive cost savings and improve service levels.
11.Build and maintain long-term supplier relationships; facilitate quarterly or semi-annual performance review meetings.
12.Develop, document, and maintain standard operating procedures for purchasing activities.
13.Perform other duties as assigned by management.
Working Conditions
The standard office hours are Monday through Friday, 8:30 am to 5:30 pm. Most of the work occurs during regular weekday office hours. However, as an international company with frequent interaction with head office, hours of work involved may vary to accommodate differences in time zones. Flexible hours are required and may include evening and week-end hours.
This job operates in office and food manufacturing setting. Travel may be required, both within Canada and internationally.
