Job summary

Musqueam Indian Band in Vancouver is seeking a Protocol Specialist to coordinate official attendance, manage communications, and support Chief and Council. You will organize itineraries, bookings, briefing materials, and document control, while maintaining confidentiality and meeting deadlines.

The role requires strong writing and interpersonal skills and a proactive, collaborative approach. Flexibility for events and occasional after-hours work is expected; a valid driver's license and

Qualifications

  • Completion of Grade 12 is preferred.
  • Experience as an executive assistant, receptionist, coordinator or relevant experience is an asset.
  • Musqueam Indian Band First Nation Member is an asset.
  • Professional, reliable, proactive, and collaborative, with a positive attitude and a demonstrated ability to meet responsibilities and deadlines.
  • Knowledge of internal and external communication strategies and best practices.
  • Excellent communication and interpersonal skills.
  • Strong writing, editing, and proofreading skills, with the ability to prepare reports, presentations, correspondence, and briefing materials in a clear and engaging manner.
  • Strong computer skills, including proficiency with Microsoft Office applications or willingness to learn.
  • Strong administrative and organizational skills.
  • Strong attention to detail.
  • Ability to use tact and good judgment.
  • Ability to maintain confidentiality.
  • Thrives in a fast-paced deadline driven environment.
  • Valid Driver’s License.
  • Criminal Record Check.

Responsibilities

  • Conduit and contact for the Musqueam Indian Band for all protocol for Chief and Council and/or Administration official attendance at 3rd party functions and activities.
  • Answer requests from phone calls, e-mails and letters in regard to protocol in a timely fashion.
  • Coordinate all bookings with those assigned to attend.
  • Provide confirmations (internally and externally), develop and provide itineraries; develop and provide necessary briefing materials and talking points.
  • Develop and maintain contact information logs and documentation.
  • Provide assistance with bookings, reservations and travel arrangements where necessary (primarily for the Chief and Council).
  • Assist with the organization with invitation mail outs and attendance for and including, meetings, events and open houses
  • Document control of fact sheets, newsletters, brochures, handouts, etc.
  • Other related duties as required.

About Musqueam

We are traditional hən̓q̓əmin̓əm̓ speaking people. Today, we are a strong, growing community of over 1,300 members. We live on a small portion of our traditional territory, known as the Musqueam Indian Reserve, located south of Marine Drive near the mouth of the Fraser River. The name Musqueam relates back to the River Plant, the name of the plant is məθkʷəy̓. There is a story that has been passed on from generation to generation that explains how we became known as the xʷməθkʷəy̓əm (Musqueam) - People of the River Plant. We have always moved throughout our territory using the resources it provides for fishing, hunting, trapping and gathering. We remain distinct and our cultural practices are strong, despite the devastating impacts of residential schools, colonial laws banning our ceremonies, and other attempts to assimilate our people. Position Summary

The Protocol Specialist is the central point of contact for all protocol for the Musqueam Indian Band, and supports Chief and Council, Administration officials and Protocol spokespeople. The Protocol Specialist reports to the Communications and Marketing Manager.
