We’re seeking a Proposal Coordinator for our Toronto office to support the proposal team with coordination, production, submissions, and content management.

What will your day look like?

You will be part of a close-knit Proposal Team working with engineers and project managers to respond to RFPs, RFQs, etc., effectively and strategically. Our team collaborates to improve processes and efficiency.

As Proposal Coordinator, you will oversee proposal production and manage RVA’s resume and project profile database.

Duties:

  • Manage proposal tracking, production, and submissions, ensuring timely delivery, liaising with administrative, technical, and IT teams as needed.
  • Distribute regular emails to Principals and Proposal Leads to ensure forms, letters, and other items are complete and submitted.
  • Manage proposal appendices such as CVs, reference projects, covers, and forms for Proposal Writers.
  • Coordinate schedules, track progress, and ensure proposals stay on track.
  • Maintain proposal calendar and pursue potential and approved pursuits.
  • Lead proposal status meetings.
  • Oversee proposal submissions in the absence of the Research Librarian.
  • Manage RVA’s automation software, keeping content libraries updated.
  • Write and edit CVs and reference projects as needed using RVA’s software.
  • Coordinate with software staff on IT issues, updates, and training.
  • Manage and update CVs and project content with staff.
  • Oversee monthly client relationship reports from RVA’s CRM system.
  • Prepare reports for the President’s Blog, CRM meetings, and Principals’ meetings.
  • Provide analytical support through proposal reports.

Qualifications:

  • Bachelor’s degree or equivalent in Communications, English, Marketing, Business Administration, or related field.
  • 3-4 years of proposal-related experience; experience in a professional service firm preferred.
  • Strong analytical skills and attention to detail, with advanced Excel knowledge.
  • Intermediate proficiency in Office 365 (Word, Excel, SharePoint, Teams).
  • Ability to manage priorities, meet deadlines, and work proactively.
  • Experience leading coordination with senior officers.
  • Self-starter, confident, and able to take initiative.
  • Excellent communication and interpersonal skills.
  • Comfortable working electronically and managing digital documents.
  • High attention to detail to ensure compliance with public-sector requirements.
  • Ability to work independently and in a team under pressure.

Assets:

  • Proposal writing/editing experience and familiarity with public sector RFPs.
  • Ability to simplify complex technical information for a general audience.
