We’re looking for a Proposal Coordinator in our Toronto office to support the proposal team with coordination, production, submissions, content, and knowledge management.

What will your day look like?

You’ll be part of a close-knit Proposal Team working with engineers and project managers to respond to RFPs, RFQs, etc., effectively and strategically. We collaborate to improve processes and efficiency.

As Proposal Coordinator, you will oversee proposal production and manage RVA’s resume and project profile database.

Duties:

  1. Manage proposal tracking, production, and submission to ensure timely delivery, liaising with relevant teams.
  2. Coordinate with Principals and Proposal Leads to ensure forms, letters, and items are complete and submitted.
  3. Manage proposal appendices and ongoing proposal content.
  4. Track progress and organize proposal status meetings.
  5. Maintain proposal calendar and pursue potential and approved pursuits.
  6. Manage proposal submissions in the absence of the Research Librarian.
  7. Oversee RVA’s automation software, maintaining an up-to-date library of CVs, projects, and content.
  8. Write and edit CVs and project profiles as needed.
  9. Coordinate with software staff on IT issues, updates, and training.
  10. Manage updates and edits for CVs and project profiles.
  11. Oversee monthly client relationship reports from RVA’s CRM system.
  12. Prepare reports for leadership and meetings.
  13. Provide analytical support with regular proposal reports.

Qualifications:

  1. Bachelor's degree or equivalent in Communications, English, Marketing, Business Administration, or related field.
  2. 3-4 years proposal-related experience; experience in a professional service firm preferred.
  3. Strong analytical skills and experience creating reports in Excel.
  4. Intermediate Office 365 skills: Word, Excel, SharePoint, Teams.
  5. Ability to manage deadlines and prioritize effectively.
  6. Proactive, collaborative, and able to lead coordination efforts.
  7. Entrepreneurial, confident, and self-motivated with initiative.
  8. Excellent communication and interpersonal skills.
  9. Comfortable working in a digital environment.
  10. High attention to detail and professional judgment.
  11. Ability to work independently and under pressure.
  12. Positive attitude and enthusiasm.

Assets:

  1. Proposal writing/editing experience and familiarity with public sector RFPs.
  2. Ability to simplify complex technical information for general audiences.
