Job description

We’re seeking a detail‑oriented and adaptable Proposal Coordinator to join our Cybersecurity Proposal Center. In this role, you will manage the end-to-end bid process—setting up collaborative workspaces, scheduling stakeholder meetings, coordinating content collection, monitoring compliance, and ensuring high-quality final submissions. You’ll work under the supervision of the Proposal Center Lead and alongside technical Subject Matter Experts (SMEs) and Procurement Operations, contributing to both tactical deliverables and strategic continuous improvement.

What you'll do:


RFP & Proposal Management:
  • Establish and maintain well-organized Teams/SharePoint environments; control access and manage versioning.
  • Coordinate bid kickoff, review, and submission meetings, ensuring stakeholder alignment and deadline adherence.
  • Work closely with Procurement to gather required documentation—pricing templates, compliance materials, vendor registrations, etc.
  • Collect and validate bid artifacts: service descriptions, resumes, past performance, executive summaries, insurance, financials, etc.
  • Review RFPs thoroughly; maintain compliance matrices and checklists; enforce formatting and submission standards.
  • Conduct detailed quality reviews for clarity, grammar, and completeness prior to submission.
Content Development & Knowledge Management:
  • Collaborate with SMEs to develop and refine proposal content and visuals aligned with OBS’s positioning.
  • Conduct content interviews and draft narrative sections, ensuring consistent voice across responses.
  • Enhance and maintain our proposal content library: identify gaps, tag reusable materials, update templates.
Process Analytics & Continuous Improvement:
  • Track and analyze proposal performance metrics (win rate, response time, content reuse) to inform future strategy.
  • Recommend and implement process enhancements; support regular Procurement Operations meetings.
  • Demonstrate flexibility by pivoting swiftly in response to changing priorities or bid demands.
What You’ll Bring
  • Education & Experience:
  • Bachelor’s degree in Business, Communications, Technical Writing, Cybersecurity, or related field.
  • 3–5 years of experience coordinating proposals, RFP/RFQ responses, or supporting sales in a technical context.
  • Familiarity with cybersecurity, IT infrastructure, compliance frameworks (e.g., NIST, PCI DSS, ISO 27001, HIPAA) is strongly preferred.
  • Experience with proposal platforms like Loopio, GovWin, BidPrime, and SharePoint; and collaboration tools such as Teams.
  • Organizational & Communication Skills:
  • Exceptional attention to detail and the ability to produce polished, compliant deliverables.
  • Superior writing, editing, and formatting capabilities.
  • Strong stakeholder management skills; able to facilitate meetings and maintain clear communication channels.
  • Self-driven, highly organized, and able to handle multiple tasks with changing priorities and deadlines.
  • Bonus Experience:
  • Certifications or practical interest in cybersecurity (e.g., Security+, CC).
  • Certifications relating to proposal development or capture professionals (e.g., CF APMP, Bid/Proposal Practitioner).
  • Graphic design experience (Canva, Adobe Illustrator) to help tailor branded proposal visuals.
