Reporting to the Program Manager, Marketing & Communications, the Proposal Coordinator is responsible for assisting operations groups in building and submitting formal proposals for work and providing general administrative support for the team.
Responsibilities:
Proposal Coordination & Development
- Monitors bidding sites for RFP opportunities and shares relevant listings with local managers for review.
- Supports local managers in developing timely, high-quality, and competitive proposals in response to RFPs.
- Attends kickoff meetings, ensuring responsibilities and deadlines are clearly communicated to the proposal team.
- Edits, proofreads, and reviews proposal documents to ensure accuracy, compliance, and consistency before submission.
Content & Document Management
- Updates and maintains a library of sample RFP responses, resumes, and key proposal documents.
- Produces content for deadline-sensitive deliverables, including Statements of Qualifications, Sales Sheets, brochures, presentations, and award submissions.
- Works with Marketing Coordinator to design visual aids, graphics, and layouts using Adobe InDesign, Illustrator, and Visio to enhance proposal presentations.
Process Improvement & Best Practices
- Assists in debriefing and analyzing past proposals to improve future submissions.
- Identifies opportunities to improve proposal templates, content organization, and workflow efficiency.
Additional Responsibilities
- Assists the Marketing Coordinator with various initiatives, including the development of collateral, social media content, event materials, and other marketing efforts to enhance brand visibility and engagement.
- Provides general administrative support to the team.
Qualifications:
- University degree or college diploma in a relevant field
- 1-2 years of experience writing proposals (experience in the electrical engineering or construction industry is an asset)
- Proficient with Adobe InDesign, Microsoft Office (including Word, Excel, and PowerPoint), and Visio

Salary Range: $28.50 - $31.50 per hour
