About the Role

The Proposal Administrator’s role consists in providing support (administrative, writing and formatting) to the Proposal Team for the preparation of responses to requests for proposals (RFPs), requests for qualifications (RFQs), and other solicitation documents. This role involves collaborating with various departments to collect all the required information to prepare compliant responses to proposals.

  • Primarily responsible for the administrative and formatting aspects of proposal creation to ensure professional and polished submissions.
  • Gather and compile necessary information to complete administrative documents and draft proposal sections.
  • Manage the submission of proposals on designated platforms, collaborating closely with the Proposal Team when assigned a submission role.
  • Maintain and update proposal templates, company profile data, and relevant documentation to support proposal efforts.
  • Primary point of contact for due diligence processes involving partners and subcontractors, and manage related information within the CRM system.
  • Frequently work under the guidance of a Proposal Coordinator or Proposal Manager to ensure alignment and quality in proposal development.
  • Conduct bid searches on various platforms, maintain platform subscriptions, and complete platform-specific questionnaires to ensure comprehensive and competitive proposals.

What do we need from you

  • Bachelor’s degree in business, Marketing, Communications, or a related field.
  • Minimum of 1 year of experience in proposal and bid searching, or a related field.
  • Experience with engineering vocabulary is preferred.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and proposal management software.
  • Ability to work under pressure and meet tight deadlines.
  • Attention to detail and commitment to producing high-quality work.
