Job Summary

Come work as a Property and Asset Management Coordinator with Vancouver Coastal Health (VCH)!

Reporting to the Manager, the Property and Asset Management Coordinator is a key member of the Facilities Planning and Real Estate team, and is critical in ensuring the success of managing an assigned portfolio of leased and owned assets for Vancouver Coastal Health (VCH) and partner health organizations, by assisting the Manager with managing capital property and leased assets to achieve real estate service goals, optimal operational maintenance of sites and due diligence on contract performance.

As a Property and Asset Management Coordinator with Vancouver Coastal Health you will:

  • Work closely with the Manager to implement, maintain and provide property management due diligence including financial, administrative and operational support to ensure optimal use and function of leased and owned assets to meet the client’s needs.
  • Assist the Manager with landlords and vendor relationships to ensure that facilities are maintained and managed as per agreed contract and/or service agreements; issue and track work order requests and request for services (RFS) to third party service providers to ensure a timely response; monitor and track service complaints and ensure the Manager is advised.
  • Assist the Manager with budget preparation ensuring financial information is current and accurately compiled; monitor and track expenditures for minor client requests including identifying trends; advise Manager of financial trends.
  • Monitor expenditures and review invoices to ensure the Manager has processed and approved all invoices within the pre-authorized amounts; investigate and/or report on variances to the Manager for follow up action.
  • Perform reviews of operating and maintenance costs in accordance with lease requirements; work with landlords to confirm operating and maintenance costs and performs account reconciliations for review and approval by the Property Manager to facilitate payments, where appropriate.
  • Assist the Manager with property management issues by conveying policies and priorities, obtaining quotes and coordinating work to ensure issues are resolved or forwarded to the appropriate area or individual.
  • Be responsible for ensuring the accuracy of the asset database program for the organization, including the input of leases, contracts, contact information, landlord and tenant responsibility information; update and maintain the information to ensure accurate and proper maintenance of records and reporting.
  • Manage tenant-related information through varying checklists, forms and reports, including but not limited to estoppel certificates, monthly rent roll and lease abstract approvals.
  • Assist with producing related reports, correspondence, presentation materials, spreadsheets and memos using a variety of software applications, as required.
  • Communicate policies and information to key contacts such as clients, external consultants, property management provider and vendors on operational matters in a manner that promotes positive and respectful relationships.
  • Carry out responsibilities in accordance with health and safety requirements. Immediately report unsafe situations by notifying supervisor or other appropriate personnel.
  • Perform other related duties as assigned.
Qualifications

Education & Experience

  • Diploma in Business Administration or related discipline, supplemented with three (3) to five (5) years' recent, related experience in healthcare project planning, real estate and/or leasing management, or an equivalent combination of education, training and experience.
