Your challenges with us:
  1. Coordination of meetings (venue, logistics, refreshments) on request
  2. Minute taking (typing and distribution of meeting minutes)
  3. Executing and coordination of travel arrangement
  4. Managing of the Office filing Structure
  5. Provide overall office support (facilities / finance/ general administration as required)
  6. Ensuring all relevant documentation is filed in hard copy and electronic copy
  7. Maintaining the folder structure on the electronic filing system
  8. Managing the diary of the Director (other Senior Managers)
  9. Assisting with day to day activities required by the office (general administrative duties)
  10. Management of Specifications / Procedures
  11. Ensure all documentation is routed through the correct Document Management process
  12. Assisting with the formatting / layout of Reports
  13. Presentation layout and design, including PowerPoint slide generation
  14. Ensuring all outgoing documentation are in the correct format
  15. Liaison with clients and all service providers and Hatch employees in various locations
  16. Assisting with the drafting of letters, memos, reports, etc.
  17. Coordination of the expense claims of the Team
  18. Assisting with the Document Management process
  19. Receptionist duties (receiving visitors / access cards etc)
  20. Answering of office telephones etc.
  21. Assist with Document Control duties
Your profile:
  1. 5 – 8 years experience in a related environment
  2. Diploma or Degree (preferable)
  3. Good interaction with clients
  4. Good written and verbal communication skills
  5. Attention to detail
  6. Good problem solving / Conflict management skills
  7. Good organizational skills
  8. Ability to stay calm under pressure
  9. Self-starter
  10. Able to work independently

NB: Must be willing to work at other Hatch offices / sites (regionally) if required.
