We’re seeking a highly organized, detail-oriented professional to join the Ontario Professional Planners Institute (OPPI) on a one-year contract. In this role, you’ll provide essential support for the Institute’s Skills Development Fund Training Program, generously funded by the Ontario Ministry of Labour, Immigration, Training and Skills Development. You’ll oversee the development of new learning materials, including six new courses tailored to internationally trained and/or mid-career planners, as well as employers. This is a one-year project that you will manage from inception to completion. PRIMARY CONTRIBUTION

The Skills Development Project Manager is a member of the Special Projects department and is responsible for managing the Institute’s Skills Development Fund Training Program under a one-year contract, running from March 31, 2025, to March 30, 2026. This role requires strong multitasking and project management skills, an understanding of administration and registration requirements associated with educational program delivery. By ensuring the project stays on schedule, you will help the Institute deliver valuable resources aimed at addressing the province-wide shortage of planners.

PRINCIPAL RESPONSIBILITIES & DUTIES

  1. Oversee day-to-day management of the Skills Development Fund Training program, ensuring adherence to scope of work, timelines, budget, and logistical requirements.
  2. Assist in the development, review, and evaluation of RFPs to identify third-party service providers for project delivery support.
  3. Manage a transparent process of securing bidders, quotes and project timelines from potential bidders.
  4. Finalize the contract deals with project partners/suppliers.
  5. Act as the primary point of contact for project partners and OPPI volunteer team, fostering strong relationships with all entities involved in project execution.
  6. Contribute to the preparation and submission of regular progress reports to the Ministry.
  7. Support the Director of Administration & Finance by organizing and maintaining financial documentation for easy access and reporting.
  8. Collaborate with the Director of Special Projects and the Director of Marketing & Communications in developing marketing plans for project deliverables, including e-news, social media, magazine articles, ad copy, and more.
  9. Research and development of vendor lists and promotional partners to support program goals.
  10. Provide logistical support for 36 in-person and virtual workshops, including scheduling and catering coordination.
  11. Manage all course registrations, correspondence with attendees and facilitators, and post-course surveys and certificates of completion.
  12. Perform other duties as required to achieve program goals.

MINIMUM REQUIREMENTS

  • Post-secondary degree in a related field, and/or equivalent experience.
  • Proficiency with Microsoft Office and web-based tools, such as Monday.com or other project management software, event management/registration systems.
  • Solid communications and marketing skills as over 25% of the job will involve communicating with vendors, partners, participants and employers and marketing the program courses to internal and external audiences.
  • Solid understanding of budgeting and financial management.
  • Relevant certifications such as PMP are considered an asset.
