Job description

Project Manager:
We are looking for a Project Coordinator to join our team. You should have a background in business skills, management, and analysis. You should be an excellent communicator and comfortable managing multiple tasks. You also need to be a team player and have a problem-solving aptitude. The Project Coordinator position is primarily focused on client interaction and support from the pre-launch stage forward. This position also requires multi-level interdepartmental communication on a regular basis. The successful candidate will work directly with clients to ensure deliverables fall within the applicable scope and time.
This position reports directly to the Production Manager.
Duties & Responsibilities of the Project Manager:
  • Execute strategic plans based on AlertDriving’s project delivery process, serving as the primary client contact regarding deliverables throughout the launch process.
  • Create and manage project plans, budgets, deliverables, goals, scope, resources, and schedules to monitor and report progress.
  • Manage resources to reach each milestone, monitoring the statement of work to ensure proper expenditure of time and staffing.
  • Monitor production and quality control, providing project plans and status reports.
  • Identify and resolve issues and risks proactively to minimize deviations from time and budget while delivering results.
  • Assist the Production Coordinator in tracking, monitoring, and resolving project issues.
  • Manage client-facing projects — handling issues, launches, pilots, etc., in a professional manner, coordinating internal resources, and managing expectations.
  • Coordinate efforts to resolve third-line client support issues/inquiries and communicate results with clients.
  • Handle client account configuration and maintenance, including account setup, training, batch testing, and MVR issues.
  • Work closely with the Customer Success Manager to manage accounts.
  • Create detailed timelines for client projects and coordinate accordingly, escalating when necessary. For larger clients, collaborate with the AM to develop timelines.
  • Understand client needs and provide guidance and assistance.
  • Train administrators on the AD program and provide detailed client information.
  • Document client progress and update management as needed.
  • Maximize customer loyalty and retention, providing first- and second-line support.
  • Build credible relationships through effective communication.
  • Occasional calls outside of business hours may be required to accommodate international clients.
Knowledge and Skills Requirements:
Communication:
  • Handle correspondence independently.
  • Communicate project scope, scheduling, resource allocation, progress, risks, and objectives with team and clients.
  • Lead project discussions in operational reviews and meetings, ensuring clear objectives and understanding.
  • Coordinate with the delivery team on scheduling and status evaluations.
  • Present deliverables and progress updates to clients and developers.
Customer Service:
  • Develop and maintain good customer relationships.
  • Respond promptly and professionally to customer needs.
Organizational and Time Management Skills:
  • Exceptional organizational skills.
  • High accuracy and attention to detail.
  • Ability to work independently and make decisions.
  • Effective communication with senior executives.
  • Handle stress and complete projects with minimal supervision.
Education and Experience Requirements:
  • At least 2 years of project coordination/management experience.
  • Experience managing projects through full lifecycle.
  • Strong customer relationship skills.
  • Proficiency in MS Office, especially Excel.
  • Project Management Professional (PMP) certification is a plus.
  • Experience with Salesforce is an asset.
  • Knowledge of administrative procedures.
  • College/University degree or professional accreditation.
