Position Overview
The Project Manager provides day to day support to client service team and studio and is responsible for managing assigned tasks/projects throughout the creative and adaptive process from inception through to completion, striving to achieve the highest quality of work whilst managing timelines.
Primarily an internal role, the Project Manager collaborates with the client server team, the creative team, and the design teams, and other appropriate internal teams as well as freelancers. This role provides internal stakeholders, with the appropriate information for them to create client facing work that creates a wow-factor. Continuously looking to support internal processes by applying project management skills and methodologies to ensure client satisfaction and efficient workflows.
Duties & Responsibilities
Project Management
• Drives projects forward, maintaining ownership of each task, and feeding back information to the stakeholders at every stage.
• Confirms the scope of each task, and then prioritizes tasks to ensure all projects are well organized and completed efficiently whilst allowing flexibility.
• Monitors workflow on assigned projects, across multiple disciplines, interacting with creative, account management, production departments and external suppliers where required to implement efficient project plans.
• Monitors project teams with a goal of a balance of quality and creativity, constantly flagging any potential issues to the appropriate parties.
• Upholds the integrity of the design process, providing push back when necessary.
• Supports briefing new projects into the studio as required.
• Maintains a project status report throughout the day. Attends/holds weekly status meetings as required.
• Acts as central liaison point between client services and the studio teams in all matters during project execution.
• Builds, manages and maintains internal project schedules ensuring project/program deadlines are met.
Production Management
• Reviews and validates mandatory project information required prior to design kick-off or prior to scheduling jobs in studio.
• Books rooms, meetings and secures resources required in advance with MarCom scheduler.
• Writes work orders required to action work with copywriters, art directors, and adaptive designers
• Gathers dielines, copy, packaging specs, any assets and reference materials to complete Design work.
• Places all documents within the assigned folder structure on the server.
• May need to work in a project management tool to download information from client and writes up projects into job information system, uploads pdfs into project management tool and routes with client.
• Checks all design work to ensure design has been executed to the client brief prior to releasing artwork for approval.
Critical Skills and Behaviors
• Highly flexible. Highly organized. Great attention to detail.
• Understanding of Shopper Marketing, POS, print, Market Communications retail design, preferrable with minimum 3 years of experience in agency environment.
• Excellent organizational and time management skills.
• Excellent interpersonal and communication skills, both written and verbal.
• Client service skills and ability to deal effectively with difficult client situations.
• Proven team player.
• Ability to multi-task in high-pressure situations.
• Ability to work with minimal supervision.

Prerequisites
• Completion of post secondary university or college degree, preferably in graphics, communication management and/or design or similar.
