The Position:
As a Project Manager you will play a pivotal role on our team by providing project management support in order to ensure the smooth and efficient execution of various internal and customer facing projects.
Roles and responsibilities:
- Assist Product Manager in managing projects and including deliverables, schedules, tracking milestones and deliverables.
- Be a key communication link between clients and internal teams to ensure on-time delivery of quality products that meet specifications and schedules.
- Work closely with Gatekeepers Proposal Group, providing scheduling updates and team information relevant to proposals and project execution.
- Upon contract award, setting up project details in Company systems and project registers in compliance with the standard project management operating procedures.
- Assist the Product Manager in booking and preparing kick off meetings, recurring core team meetings, compiling meeting agendas and distributing action items.
- Manage small projects independently and assist with administrative tasks, including document control.
- Reviewing orders, processing updates, managing change orders, and ensuring timely document exchange with customers.
- Preparing status reports, collaborating on schedules, and forecasting completion dates.
- Prepare various documents, including proposals, schedules, and client deliverables, ensuring timely delivery.
- Schedule and coordinate internal and external meetings, take meeting minutes while following up on action items.
- Maintain effective communication with the project team and clients to ensure smooth project execution and administrative compliance.
- Assist with the generation of project charters, stakeholder registers, project organization and communications plan along with projects schedules and project management plans.
- Attending client meetings and assisting with determination of project requirement and scope definition / adherence.
- Compiling preliminary budgets and ongoing budget reports.
- Track the progress and quality of work being performed by design disciplines / contractors / trades.
- Create and maintain comprehensive project documentation, plans and reports.
- Keep the Product Manager informed of project status, risks and issues that may impact client relations.
- Use project scheduling and control tools to monitor project schedules, work hours, resource assignments, planned vs actual hours and budgets.
- Update project, program and portfolio dashboards by liaising with the relevant project team members.
- Other duties as required.
What you bring to the Gatekeeper team:
- Work Experience: 2+ years of project management experience in a technology related business in either manufacturing, product development or engineering.
- Strong organizational, administrative, time management, verbal, and written communication skills.
- Ability to multitask with attention to detail.
- Capability to work independently with minimal supervision or in a team setting under strict deadlines.
- Strong interpersonal skills, with the ability to collaborate effectively with all levels of the organization, work effectively under pressure with diverse stakeholders and to effectively and accurately communicate relevant project information to the Product Manager and project team.
- Familiarity with risk management and quality assurance control.
- Good understanding of project management processes, methodology and framework.
- Knowledge of project accounting, cash flow forecasting and invoice management.
Education and Qualifications / Experience:
- Bachelor’s Degree in Engineering or Computing Science or General Science (BSc.) or Technologist Diploma with relevant experience.
- Have completed or working towards an after-degree diploma in Project Management.
Other Must Haves Include:
- Candidates must have a valid passport, driver license and ability to travel to the US and in Canada.
- Proficient in the use of, Jira, Bitbucket, Microsoft Office 365 suite (Word, Excel and PowerPoint), Microsoft Visio and Microsoft Project.
Non-technical Competencies:
Ideally you will have excellent team player, interpersonal and written communication skills, be a self-starter, well organized, detail oriented and able to work with minimal supervision and to tight deadlines.
Key to success in this role will be the ability to be hands on, think analytically and problem solve effectively.
