House of Friendship is a charitable social service agency serving thousands providing addiction treatment food housing and community resources throughout Waterloo Region. The Strategy & Quality team stewards the data evaluation and decisionmaking tools that support House of Friendships team members leaders and Board of Directors to improve services manage risk advance strategic priorities and strive towards quality improvement. The Project Management Specialist will lead the planning organizing and implementation of strategic largescale organizationwide projects as assigned each year to meet the required goals outcomes and timelines. Through collaboration with organizational leaders team members and external partners they will ensure these projects are set up for success from the start establishing core team members and accountabilities creating strong project and change management plans communicating with stakeholders throughout and overseeing the project through to successful implementation. As the internal subject matter expert in project management they will also influence coach and provide tools to organizational and project leaders to build capacity across the organization.

  • This is a permanent salaried fulltime (37.5 hours per week) position with paid sick time personal days vacation time; group health benefits and defined contribution pension plan.

Schedule Monday to Friday 8 : 30am to 4 : 30pm.

Key Responsibilities :

Lead the planning and implementation of a few strategic crossdepartmental projects for the organization as assigned annually by the COO including at least one IT project within our digital transformation journey

Influence and direct strong project goal and objective setting supported by thorough project and change management plans educating and gaining alignment from the Organizational Leadership Team

Create strong communication plans throughout the project equipping organizational leaders the Project Sponsor and People Leaders to perform their roles with impact

Communicate and collaborate with a wide range of stakeholders internal and external throughout the project creating project tracking and reports to ensure targets are achieved

Coordinate all aspects of implementing the project and change management plans through to a postlaunch evaluation and measurement of useradoption

Advocate to ensure strategic projects are informed by participant staff and community perspectives as applicable and ensure that change is managed effectively using advanced engagement and change management practices

As the internal subject matter expert coach advise and create tools to build the capacity of House of Friendships Organizational Leadership Team Management Team and project leaders in their change management project management implementation and project measurement best practice

Actively pursue continual learning and knowledge of project and change management best practises creating and growing a set of learning resources for House of Friendship

Actively participate as a member of the Strategy & Quality Team and the Administrative Team and the organizational Management Team contributing positively to the culture of those teams and their ways of working

Job Specific Knowledge / Skills :

Advanced proficiency in planning implementing and evaluating projects with the ability to manage multiple projects simultaneously

Strong confidence with technology; experience in a MS365 and SharePointbased collaborative environment is an asset

Comprehensive knowledge of current best practice in engagement project management and change management

Excellent verbal and written communication abilities and strong interpersonal skills to build relationships with a wide range of internal and external collaborators

Demonstrated experience in incorporating strong communication training user testing and phasing of solutions into project implementation

Excellent collaboration skills to work effectively as part of a team with experience in influencing leading and motivating others to achieve project objectives including in situations without positional authority

Experience working effectively with senior leaders and the confidence and poise to provide feedback and suggestions to support alignment with best practice

Ability to identify project risks and barriers manage competing priorities and develop effective solutions with strong systemthinking and analytical skills

Superior organizational skills with strong attention to detail

Advanced emotional intelligence skills including the ability to identify the emotional or interpersonal aspects of any collaborative effort and to support those through relationshipbased approaches to unlocking productivity resolving conflict and achieving goals

Education / Experience :

Undergraduate degree in a relevant area of study preferably with a focus on business administration knowledge integration organizational development and management or an acceptable equivalent combination of education and experience

23 years of relevant experience in successfully planning managing and evaluating largescale crossdepartmental projects and change initiatives; including experience leading software / technology implementation projects

Experience in a project or change management role within a nonprofit social service and / or health care environment is an asset

Experience supporting projects / organizations to adhere to compliance or accreditation standards is an asset

Demonstrated experience in working with diverse teams and populations and leading collaborative projects in a way that prioritizes the importance of relationships and brings sensitivity to individual realities and barriers to engagement

Critical Skills :

Commitment to understand and uphold the mission and values of House of Friendship is expected

Exemplary emotional intelligence resilience communication conflict management and problem solving skills required;

Ability to work professionally as a team member with staff participants and community members

Experience or strong interest in working with diverse populations including people from various cultural backgrounds income levels and sensitivity to their needs;

Experience with and commitment to using an antiracism antioppressive and trauma informed approach to consultation program design evaluations of processes and service delivery;

Must be dependable professional flexible a team player and have a positive attitude;

Respectful supportive and engaging approach to persons with physical and / or cognitive disabilities addictions mental illness and other life challenges

Excellent project timeline and deadline management skills including skills in logistics planning and detailed record keeping;

Time off includes three (3) weeks of vacation 5 personal days and sick credits totaling approximately 12 days per year

Rate of Pay :

At House of Friendship all compensation ranges are categorized under a series of grades and we base our payment structure on internal determining rate of pay a candidates past related experience will be taken into consideration.

Grade : 5

Min : $27.04

Mid : $31.03

Max : $35.02

Working Conditions :

37.5 hours weekly; generally daytime weekday hours

Work may be performed in a home office for some of the weekly hours

Encountering participants at program sites under the influence of alcohol or other substances and / or experiencing symptoms of mental illness can be expected
