Major Responsibilities

Under the direction of the Project Manager, Toronto Elections, the Project Coordinator of Outreach will support and implement all aspects of the 2026 Municipal Election Plan with responsibilities focused on community outreach.

The successful candidate will support the initiation, planning, and implementation of outreach strategies, and play a key role in relationship building with internal and external stakeholders and partners supporting election projects.

Our ideal candidate will have considerable experience engaging with diverse communities, providing meaningful outreach to Toronto residents, including equity-deserving and vulnerable populations.

  • Implement detailed plans for outreach programs, including status reporting.
  • Coordinate and lead meetings and presentations (in-person and online) to support key messaging for the election.
  • Develop relationships within Toronto Elections and city divisions to support project delivery and address challenges.
  • Review and update contact lists, identify demographic gaps, and grow outreach networks.
  • Ensure compliance with relevant legislation, including the Accessibility for Ontarians with Disabilities Act and Occupational Health and Safety Act.
  • Develop accessible educational toolkits and coordinate production and distribution of materials.
  • Plan and attend community events, managing logistics from supplies to setup and takedown.
  • Maintain data and contact lists, and track outreach activities and materials.
  • Supervise and monitor outreach operations, ensuring prompt and courteous responses to inquiries and requests.
  • Manage budgets, develop RFPs, and review contracts in accordance with city policies.
  • Work effectively within a complex team structure, ensuring objectives are met on time.
  • Identify risks and resolve conflicts, following escalation protocols.
  • Research and implement innovative election management programs and policies.
  • Represent the City of Toronto with sound judgment, integrity, and fairness.
  • Support reporting and presentations to committees, council, and senior officials.
  • Perform clerical duties and act on behalf of the Project Manager as needed.
  • Work long hours during peak periods, including evenings, holidays, and weekends.
Key Qualifications
  • Post-secondary education in communications, marketing, public relations, or equivalent experience.
  • Extensive experience in outreach and engagement, especially with diverse and vulnerable populations.
  • Experience in community outreach, workshops, and public events.
  • Strong project coordination skills supporting complex operations and work plans.
  • Ability to work collaboratively in diverse teams under tight deadlines.
  • Valid Ontario G-class driver’s license and access to a personal vehicle for events.
  • Proficiency in MS Office (Word, Excel, PowerPoint).
  • Excellent communication, presentation, and interpersonal skills.
  • Knowledge of relevant legislation (AODA, OHSA, Ontario Human Rights Act) and principles of equity, inclusion, and accessibility.
  • Strong organizational and time management skills, with attention to detail.
  • Ability to exercise discretion and handle sensitive matters independently.
  • Understanding of government election processes and related legislation is an asset.
