Primary Purpose:

The Project Coordinator supports strategic initiatives led by the Office of the Vice-Provost Indigenous Engagement (OVPIE), contributing to the advancement of the university’s Indigenous Strategy, ohpahotân I oohpaahotaan. This role focuses on event coordination, stakeholder engagement, and logistical support for Elders, Knowledge Holders.

Nature of Work:

This role operates in a dynamic, fast paced, and highly collaborative environment, managing multiple concurrent projects with competing deadlines. The Project Coordinator works closely with internal and external stakeholders to ensure the successful planning and execution of initiatives that reflect the values and priorities of Indigenous engagement. The position requires a high level of cultural awareness, attention to detail, and the ability to translate strategic goals into actionable plans. Flexibility, discretion, and professionalism are essential, particularly when supporting Elders and Knowledge Keepers and coordinating sensitive or high-profile events.

Reporting to the Strategic Officer, Indigenous Engagement, this position is responsible for supporting end-to-end event coordination including consideration of relationships with stakeholders, communications and post-event evaluation. The incumbent will support high quality, high impact and engagement experiences and events with measurable outcomes to build and strengthen relationships and the work of OVPIE. Stakeholders will include Elders, Knowledge Keepers, dignitaries, community partners, students, staff, and faculty and all ranging in size from small intimate gatherings to large-scale signature events.

Key Responsibilities:

• Coordinate and support events ranging from small gatherings to large-scale signature experiences, ensuring meaningful engagement and measurable outcomes.
• Assist in the planning and execution of strategic projects, maintaining timelines, documentation, and communication with stakeholders.
• Provide logistical and administrative support to Elders and Knowledge Keepers, including calendar management, payments, and event logistics.
• Prepare meeting materials, document minutes, and manage follow-up actions.
• Collaborate with communications teams to deliver timely, consistent messaging across appropriate channels.
• Maintain project tracking systems, including deadlines, budgets, and reporting requirements.

Communication

• Works with communication partners to utilize the most effective channels to deliver consistent, appropriately timed communications
• Develops and maintains a system to track projects and applications including deadlines, budgets, requirements, and reporting
• Supports coordination of logistics, including venue contracts and booking of appropriate spaces, food and beverage requirements and arrange or oversee ordering supplies, signage, AV equipment, and on-site production.
• Establishes events management documents, plans, and organizational memory

Stakeholder Engagement

• Build respectful relationships with Indigenous communities, Elders, and Knowledge Keepers, recognizing the distinct and unique differences between Métis, First Nations, and Inuit cultures.
• Liaise with internal and external partners to support project integration and alignment with OVPIE’s strategic goals.

Qualifications

Education:Related undergraduate degree is required

Experience in an Indigenous portfolio; experience working with Indigenous communities, organizations, leaders, Elders, Knowledge Keepers; Knowledge of Indigenous protocols

• Relevant and demonstrable experience in projects and events with the academic student cycle and experiences specific to Indigenous students in post-secondary

Skills:

• A skilled communicator with the ability to establish and maintain effective, respectful, and collaborative relationships
• Excellent written and verbal communication skills; comprehensive reporting and detailed orientated
• Ability to work collaboratively with diverse stakeholders, including students, faculty, staff, and community partners
