Job summary

Pixel Dreams in Vancouver, Canada is seeking a Project Coordinator to support project delivery and client experiences. You will help plan, coordinate, and document client projects from kickoff through delivery, working with PMs, Account Directors, and Creative Leads to align scope, timelines, and resources.

The role requires 1–3 years in a fast-paced agency setting, strong communication, and proficiency with Asana and Google Workspace.

Qualifications

  • 1–3 years of project coordination experience in a creative/advertising/experiential agency.
  • Proven track record coordinating client-facing projects from scope to delivery.
  • Strong ability to plan, prioritise, schedule, and orchestrate multiple projects and stakeholders.
  • Excellent written and spoken communication and interpersonal skills.

Responsibilities

  • Support Project Managers in planning, coordinating, and executing client projects from kickoff through delivery.
  • Create and maintain project plans, schedules, timelines, task lists, and project documentation.
  • Develop understanding of client objectives and team workflows to support delivery.
  • Coordinate project scope, priorities, timelines, and deliverables with PMs, Account Directors, and Creative Leads.
  • Track progress, milestones, and escalate risks or scope changes when needed.
  • Capture meeting notes, action items, and follow up for accountability.
  • Coordinate kickoffs, status meetings, reviews, and retrospectives to stay on schedule.
  • Maintain organized, current project documentation.
  • Identify risks early and resolve issues to protect project success.
  • Collaborate with Creative Ops and PMs to coordinate schedules and resources.
  • Assist with reporting, time tracking, status updates, and operational admin.
  • Build strong cross-functional relationships and contribute to process improvements.
  • Take ownership of workstreams while supporting PMs in delivering successful projects.

Responsibilities

  • Support Project Managers in planning, coordinating, and executing client projects from kickoff through delivery.

  • Identify risks early, resolve issues proactively, and make informed decisions that protect project success.
  • Work closely with Creative Operations and Project Managers to coordinate schedules, resources, and project assignments.
  • Assist with project reporting, time tracking, status updates, and operational administration.
  • Build strong working relationships across cross-functional teams while contributing to continuous improvements in processes and communication.
  • Take ownership of assigned workstreams while supporting Project Managers in delivering successful projects and exceptional client experiences.

Must-haves

  • Minimum 1-3 years of project coordination experience within a creative, branding, marketing, advertising, or experiential agency. Agency experience is required.

  • Strong capability to plan, prioritize, schedule, and orchestrate multiple projects and stakeholders simultaneously.
  • Strong communication skills (written, verbal, and interpersonal).
  • Proficiency in modern project management tools (Asana or equivalent).
  • Proficiency with Google Workspace (Drive, Calendar, Docs, Sheets, Slides, etc.).

Nice-to-haves

  • Experience in B2B enterprise marketing and communications.
  • Background in creative, marketing, business strategy, and/or B2B marketing.
  • Experience supporting conferences, trade shows, executive events, or experiential activations.
  • Interest in growing into a Project Manager role.
