What We Are Looking For

  • The Capital Planning and Redevelopment team is looking for a highly motivated, proactive, and detail-oriented Project Coordinator to support the successful planning and execution of projects across Oak Valley Health sites. In this role, the Project Coordinator will be responsible for managing all aspects of project coordination, from initial planning through to implementation, ensuring that projects are completed on time, within scope, and aligned with organizational goals. They will oversee the day-to-day planning, scheduling, and coordination of tasks, working closely with internal teams, external vendors, and stakeholders to drive project success.

You Will Be Responsible For

  • Coordinating and implementing small to medium capital projects as assigned, including consultation with user groups. Projects including but not limited to; renovations, furniture & equipment, signage & wayfinding, etc.

Supporting Project Managers On

  • Preparation of tender and contract documents
  • Support contract administration
  • Sourcing quotes for small facility improvement projects
  • Some administrative functions, such as compiling and filing project documents, budget tracking, and preparation of tender and contract documents
  • Communicating project updates and recommendations to project sponsors, project managers and key stakeholders.
  • Creating and maintaining capital planning inventories (e.g. space inventory, as-built facility floor plans etc.).
  • Supporting scheduling and coordination of meetings with team members, user groups, consultants and external stakeholders.
  • Participating in the review, analysis and evaluation of project documentations and provide recommendations on contract awards.
  • Assisting in the development of policies and procedures pertaining to capital planning
  • Working with user groups and other departments within the hospital (e.g. finance, decision support, public relations, facilities, IPAC etc.) to deliver capital projects.
  • Assisting with the planning and execution of space relocations.
  • Ensuring that all contractors have appropriate documentation and approval to undertake work.
  • Maintaining effective working relationships with all stakeholders, contractors, consultants etc.
  • Travel for external meetings to OVH’s other sites (Uxbridge Hospital).

What You Bring To The Role

  • Bachelor’s degree in a relevant discipline (business administration, health administration) or equivalent education/experience required.
  • 2-3 years of experience coordinating medium to large-scale projects (within the healthcare sector an asset).
  • A strong commitment to continuous learning and professional development, with a proactive approach to engaging in discussions, contributing ideas, and sharing relevant knowledge to drive project success.
  • Demonstrated understanding of and experience with the Ministry of Health Capital Planning process, an asset.
  • Outstanding organization and priority setting skills including: document control, development, monitoring of schedules and maintaining records.
  • Excellent communication, interpersonal, and planning skills, along with the ability to analyze, negotiate, and solve problems in a fast-paced, dynamic environment.
  • Demonstrated computer skills, specifically Outlook, Word, Excel, PowerPoint, (Microsoft Project, an asset).
  • Demonstrated commitment to a healthy and safe workplace for self and others (staff, patients, families, etc.) by taking all reasonable precautions and working in compliance with hospital related policies, health and safety legislation and best practices and completing relevant mandatory education as required.
  • Ability to travel between all hospital sites.

Please note that although the department is located at the Markham site the office of Redevelopment is located in Uxbridge Hospital.

Work Schedule

Monday to Friday, day shifts. This is on site 5 days a week position between Markham and Uxbridge

Please note schedules may change due to operational needs.
