Role Description

We are currently seeking a full-time, on-site Project Coordinator and Estimator at MaintainIT. The Project Coordinator/Estimator is responsible for gathering and dispensing needed information throughout the project lifecycle by working closely with the Operations Manager and the Director of Construction. This position is also responsible for developing the project estimates, budgets, and scheduling.

Who You Are
  • Possess a minimum of 2-4 years of project coordination and estimation experience in construction management, maintenance management, or servicing, including overseeing projects in retail, restaurant, or commercial sectors.
  • Strong knowledge of construction documentation, project tendering, and building processes.
  • Proficiency with MS Office suite, Planswift (Estimating), etc.
  • Experience in construction estimating and bidding for general contract work.
  • Strong written and verbal communication skills.
  • Exceptional organizational and time-management abilities.
  • Ability to read and interpret construction drawings and specifications.
  • Comfortable attending site visits and interacting with clients and contractors.
  • Strong negotiation and relationship management skills.
Key Responsibilities: Project Coordination
  • Assist the Operations Manager with requesting, organizing, and distributing project shop drawings.
  • Submit project RFIs through Procore.
  • Track and manage incoming paperwork and upload onto Procore as required.
  • Monitor project progress and budget regularly.
  • Attend site visits.
  • Assist in documenting and managing potential and approved change orders in Procore.
  • Create and submit weekly construction reports and participate in internal meetings.
Key Responsibilities: Estimating
  • Prepare accurate and detailed cost estimates for service calls, maintenance projects, and new construction opportunities.
  • Develop quotes and design proposals for management review.
  • Ensure bids presented are accurate and compliant with specifications.
  • Ensure bids and quotes are all submitted on time.
  • Provide detailed and accurate information to the operations manager.
  • Maintain vendor relationships.
