Do you thrive in a fast-paced environment where collaboration and problem-solving drive success? PavCo is looking for a Project Coordinator to join our Infrastructure & Capital Projects team —a team dedicated to shaping the future of some of British Columbia’s most iconic venues.

As a Project Coordinator , you’ll be the backbone of our capital infrastructure projects, ensuring seamless coordination between teams, contractors, and stakeholders. From managing critical documentation to tracking financials and keeping schedules on course, you’ll be instrumental in supporting the Senior Project Manager with high-impact projects.

In this role, you will be the backbone of multiple projects, working closely with Senior Project Managers to keep everything moving forward. From managing documentation and tracking finances to ensuring clear communication between teams, contractors, and clients, your work will be essential to delivering projects on time and within budget. You will coordinate schedules, monitor deadlines, and act as the go-to person for project administration, keeping all stakeholders informed and aligned.

Success in this role requires exceptional organizational skills, attention to detail, and the ability to juggle multiple priorities at once. You thrive in both independent and collaborative environments, staying proactive and solutions-oriented even when things get busy.

WHAT YOU WILL DO :

  • Support the Senior Project Manager in preparing budgets, schedules, scope statements, and business cases.
  • Organize stakeholder meetings, record minutes, and generate progress reports.
  • Handle administrative tasks, including purchase orders, invoices, building access, and procurement documentation.
  • Oversee project transitions to operations, including training per SOPs.
  • Ensure proper storage of record drawings, specifications, manuals, and warranties.
  • Finalize project closeout, including invoice completion and transition activities.
  • Support the project team throughout all project phases, from planning to execution and closing.
  • Utilize software for updates, access requests, requisitions, purchase orders, and resource allocation.
  • Track project change orders and RFI’s.
  • Project activities are entered into Momentus daily and weekly.
  • Identify consultation resources, review drawings and diagrams, and prepare tender documentation for RFP process.
  • Assist in ensuring project safety standards and guidelines are met, collaborating with contractors and site reps as needed.
  • Report project risks to managers.
  • Facilitate communication with team members and stakeholders throughout the project lifecycle.

WHAT YOU WILL BRING :

  • Proven experience in project coordination or administrative support role, in a project environment.
  • Education in engineering, design, project management or business administration is an asset.
  • Experience utilizing different forms of software, including AutoCad and MS software.
  • A proven track record in, and commitment to supporting and working in, a busy team.
  • Accurate and thorough. High attention to detail and quality conscious, with the ability to multi-task, prioritise and manage expectations and tight deadlines.
  • Excellent communication (written and oral) and interpersonal skills. Confident in dealing with colleagues and contractors at all levels.
  • Efficient and well organised with a calm approach to work.
  • Friendly and personable – likes working as part of a team and a strong relationship builder.
  • Proactive and able to take the initiative when required to do so.
  • Demonstrated knowledge and experience working with health and safety regulations, including WorkSafeBC.
  • Experience working with tradespeople and construction professionals is an asset.
  • Certifications in a skilled trade is an asset but not required; CAPM, PMP Designation and BOMA or IFMA.

The salary range for this position is $ 55,744 - $69,680.

  • Offers will be in line with PavCo’s internal pay equity and qualified candidate’s experience and education.
  • Salary discussion and overall compensation package will be presented during initial phone interviews.
