Job summary

Associated Engineering in Vancouver seeks an experienced Project Coordinator to support the Transportation Structures Group by aiding Project Managers and leadership with project administration and coordination. The role involves document control, scheduling, budgeting, invoicing and communication with teams, contractors and clients.

You will organize project documentation, prepare minutes and reports, and help manage safety training and professional development.

Qualifications

  • Relevant degree or diploma from an accredited post-secondary education institution.
  • 2+ years experience providing project/management support.
  • Reliable and able to maintain confidential information.
  • Excellent organizational skills and attention to detail.
  • Ability to meet tight deadlines.
  • Excellent written and verbal communication for reports and correspondence.
  • Experience coordinating with project teams, contractors and clients.
  • Experience with proposals and technical reports is a plus.
  • Engineering environment or technical background is an asset.
  • MS Office proficiency; knowledge of MS Project and SharePoint is an asset.

Responsibilities

  • Assist Project Managers and Group with day-to-day project coordination and administrative activities.
  • Organize and control project documents.
  • Schedule and coordinate project activities.
  • Follow up on outstanding items and maintain action logs.
  • Liaise with government bodies, contractors and clients for documentation.
  • Develop and maintain document controls for internal systems and collaboration sites.
  • Attend project meetings and prepare minutes.
  • Prepare correspondence, reports and presentation materials.
  • Provide administrative support to the Group and coordinate meetings.
  • Track safety training, professional development and strategic initiatives.
  • Assist with proposals and project agreements.

The opportunity:

Associated Engineering, a proudly Canadian, Employee-owned Company is seeking an experienced and dedicated Project Coordinator to join our team in our Vancouver office. In this role you will support the Transportation Structures Group by assisting Project Managers and Leadership Team with a broad range of project and general administrative duties. The Transportation Structures group is a dynamic team of over 30 individuals that delivers bridge projects to federal, provincial, municipal, and private clients throughout BC and the North.

What you’ll do:
  • Assisting Project Managers and the Group with day-to-day project coordination and administrative activities, such as project initiations, project closures, budget and schedule tracking, invoicing, etc.
  • Organizing and controlling project documents.
  • Scheduling and coordinating project activities.
  • Following up on outstanding items, maintaining action/decision logs, helping with monthly project administration and coordinating internal processes.
  • Liaising with government bodies, contractors and other companies for coordination of project documentary requirements.
  • Developing and maintaining document controls for internal systems and project collaboration sites.
  • Attending project meetings and prepare and distributing minutes.
  • Preparing correspondence, reports, presentation materials and other documents as required.
  • Providing administrative support to the Group, including virtual filing, document management, scheduling meetings.
  • Organizing and tracking Group safety training, professional development activities, and strategic initiatives.
  • Assisting with preparation of proposals.
  • Assisting in the preparation and tracking of project agreements.
