Job summary

MAP is seeking a Project Coordinator to join our international MAP team. You will act as a key contact for routine client inquiries, coordinate cross-functional projects, and support administrative tasks to keep programmes on track.

You will work closely with the Program Director and a range of specialists across technology, data, and client leadership. The role emphasizes strong communication, meticulous organisation, and the ability to manage multiple priorities in a fast-paced environment.

Qualifications

  • Bachelor's degree in Business Administration, Marketing, Communications, Project Management, or related field.
  • 1–3 years’ client-facing experience in project coordination or admin roles.
  • Exceptional organisational skills and meticulous attention to detail.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite.
  • Ability to manage multiple priorities, work under pressure and meet deadlines.
  • Proactive and solution-focused mindset; able to work independently.
  • Client-centric approach and delivering high-quality service.

Responsibilities

  • Serve as primary point of contact for routine enquiries from the Account Team, escalating more complex issues as needed.
  • Facilitate regular client updates and reporting for Program Director review.
  • Assist in creating client-facing materials, presentations, and proposals.
  • Track progress of internal and external projects, ensuring timelines and scope.
  • Collaborate with internal teams (Creative, Tech & Data, Operations) for updates.
  • Document project requirements and maintain well-organised files.
  • Prepare regular internal programme status reports.
  • Identify opportunities to streamline processes within Client Engagement & Delivery.
  • Take notes in meetings and track action items to completion.

The Project Coordinator plays a pivotal role in ensuring the seamless execution of client programmes and projects, supporting strong client relationships, and contributing to overall client satisfaction. Reporting directly to the Program Director, this position acts as a central hub, coordinating communication between internal delivery teams, tracking project progress, and supporting the day-to-day operational needs of client accounts under the guidance of the Project Leadership team.

What will your day look like?
Client Engagement & Communication Support
  • Serve as a primary point of contact for routine enquiries and requests from the Account Team, escalating more complex issues to the Program Director when required.
  • Facilitate regular client updates and reporting, ensuring the timely and accurate flow of information, often in preparation for Program Director review.
  • Support the creation of client-facing materials, presentations, and proposals, working closely with the Program Director on key messaging and strategic direction.
  • Contribute to building and maintaining strong client relationships, representing the team under the leadership of the Program Director.
Program & Project Coordination
  • Track the progress of multiple internal and external projects and programmes, ensuring adherence to timelines, deliverables, and scope, while providing regular updates to the Program Management Team.
  • Work closely with internal teams (e.g. Creative, Tech & Data, and Operations) to gather updates and ensure tasks are progressing as planned, flagging any challenges to the Program Director.
  • Monitor programme schedules and proactively identify potential roadblocks or dependencies, communicating these promptly to the Program Director and relevant stakeholders.
  • Assist in documenting project requirements, specifications, and client expectations, ensuring alignment with the Program Director’s strategic vision.
  • Help manage project documentation, ensuring all files and communications are well organised and easily accessible for both the wider team and the Program Director.
  • Support administrative tasks within the Ford Lines of Business (LOBs), including the setup of new programmes and projects, following processes established by the Program Management Team.
Operational & Administrative Support
  • Prepare regular internal reports on programme status as required.
  • Identify opportunities to streamline processes and improve operational efficiency within the Client Engagement & Delivery function, often proposing solutions to the Program Director.
  • Perform general administrative duties to support the Client Engagement & Delivery team and the Program Director.
  • Participate in assigned meetings and take responsibility for notetaking, distributing post-meeting notes, and tracking action items through to completion, while escalating any identified roadblocks to Program Leadership.

What do you bring to the table?
  • Bachelor's degree in Business Administration, Marketing, Communications, Project Management, or a related field.
  • 1–3 years’ experience in a client-facing role, project coordination, administrative support, or a similar function, preferably within an agency, consultancy, or technology company.
  • Exceptional organisational skills and meticulous attention to detail.
  • Strong written and verbal communication skills, with the ability to present information clearly and professionally.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
  • Ability to manage multiple priorities, work effectively under pressure and meet deadlines in a fast-paced environment.
  • A proactive and solution-focused mindset, with the ability to anticipate needs and work independently, while recognising when to seek guidance from the Program Director.
  • A client-centric approach and a passion for delivering high-quality service.

The base salary for this position at the time of this posting may range between the values at the bottom of this posting. Individual compensation varies based on job-related factors, including location, business needs, level of responsibility, experience and qualifications.
