ACCOUNTABILITY STATEMENT:
The Project Coordinator EAM is accountable for supporting the successful planning, execution and completion of major projects associated with EAM operations. The Project Coordinators are heavy users of the EAM (Enterprise Asset Management) system and will work closely with the Capital Project Managers and Maintenance Planners to ensure accurate project coordination, work order tracking, costing, data management, and communication to support functional divisions.

MAJOR DUTIES/ RESPONSIBILITIES:
  1. Participate in the RFP process for new procurement as required
  2. Participate and coordinate decommissioning and review of end-of-life retirement for assets
  3. Coordinate inspections of new equipment prior to delivery to ensure compliance with specifications outlined in RFP
  4. Ensure asset information is shared with Asset Analyst for registration into Hexagon/ARI
  5. Create projects using the EAM system to track work execution and supply chain management activities
  6. Participate in the development and update of Asset Management Plans and Capital Plan submissions when requested
  7. Support asset investment planning and forecasting by providing input on maintenance strategies
  8. Assist in the development and refinement of project plans, ensuring that they align with company goals and objectives, and help in identifying required resources and potential risks
  9. Assist in the monitoring of capital project budgets and track expenditures using EAM
  10. Monitor project budgets, track expenditures, and provide regular financial reports to ensure projects remain within allocated funds and financial compliance
  11. Monitor purchase orders, invoices, and vendor payments related to asset management projects
  12. Keep accurate records of office activities, including filing documents, managing databases, and updating records
  13. Serve as a liaison between project teams, internal departments, and external stakeholders, facilitating clear and effective communication to keep all parties informed and engaged
  14. Coordinate annual overhauls with OEM
  15. Manage and maintain project schedules, including coordinating meetings, deadlines, and milestones to ensure timely progression and completion of project activities
  16. Prepare regular progress reports and presentations for senior management and stakeholders
  17. Coordinate with the Maintenance Planner the allocation and utilization of resources, including personnel, equipment, and materials, to maximize efficiency and meet project needs
  18. Analyze asset data to support decision-making and continuous improvement
  19. Prepare dashboards and KPIs for project performance tracking
REQUIREMENTS:
  1. College diploma in Business Administration, Project Management, Civil, Mechanical or Electrical Engineering, Information Technology or a related field
  2. 2-3 years’ experience in asset management which includes asset lifecycle tracking, assessing asset related performance and presenting corrective remedies and plans
  3. 2-3 years’ experience in an industrial manufacturing/maintenance shop, or operational environment in a data management intensive role
  4. Experience in data entry, reporting, and document management in an EAM system
  5. Certified Project Management Professional (PMP), Certified Asset Management Professional (CAMP) or Computerized Maintenance Management Systems (CMMS) certification is preferred
  6. Experience with asset management software like SAP PM, IBM Maximo, HxGN EAM, or Oracle EAM
  7. 2-3 years experience in project support or capital project tracking is preferred
  8. Use of SAP, Oracle Financials, or other accounting/budgeting systems for tracking capital expenditures
  9. Experience with Lean Six Sigma, or business process automation to improve asset management efficiency
  10. Proficiency in Microsoft Project, Smartsheet, Primavera P6, or other project tracking tools
  11. Ability to create project presentations and status reports
  12. Power BI / Tableau experience is preferred for data visualization and KPI tracking
  13. Ability to input, track, and analyze asset data, work orders, and project progress
  14. Proficient in Microsoft 365 with advanced Excel skills
  15. Familiarity with industry regulations, safety standards, and risk mitigation strategies
  16. Ability to work independently and in a team environment and effectively collaborate
  17. Exceptional communication skills with the ability to articulate and present results
  18. Excellent coordination & planning skills with the ability to adapt to shifting priorities
  19. Self-directed with strong problem solving and analytical skills
