Job Title: Project Coordinator – Investment Operations Transformation

Business Group: Business Operations Solutions – Business Transformation Team

Project Type: Transformational initiative impacting front, middle, and back office operations within the investment management domain.

Job Summary:

We are seeking a highly organized and proactive Project Coordinator to support our Business Transformation team within Investment Operations. The ideal candidate will play a key role in coordinating complex, large-scale transformation initiatives across a global investment management environment. This role will provide critical support to project and program managers, helping to ensure timely delivery and efficient resource utilization.

Key Responsibilities:

Project Planning and Coordination

  • Assist in updating project plans, schedules, and timelines.
  • Coordinate with cross-functional team members to ensure project tasks remain on track.
  • Support resource allocation and help ensure efficient use of project resources.

Communication and Meetings

  • Schedule and organize internal and external meetings.
  • Prepare meeting agendas, record minutes, and track follow-up actions.
  • Communicate project updates and maintain consistent reporting to stakeholders and leadership.

Documentation and Reporting

  • Maintain accurate and up-to-date project documentation (charters, schedules, risk logs, etc.).
  • Create and distribute regular reports on project status, budget tracking, and resource usage.

Risk and Issue Management

  • Monitor project risks and issues and support the development of mitigation strategies.
  • Coordinate issue resolution with relevant stakeholders.

Administrative Support

  • Provide day-to-day administrative support including organizing documentation and managing logistics for project-related events, workshops, and travel.

Must-Have Qualifications:

  1. Minimum 5 years of project management or coordination experience, particularly in transformational projects.
  2. Minimum 5 years of experience in capital markets or investment management environments.
  3. Minimum 5 years of experience working in a globally distributed organization.
  4. Experience managing or supporting large-scale projects with multiple workstreams and diverse stakeholders.
  5. Bilingual in French and English (written and spoken).
  6. Proficiency in Microsoft Office applications including Word, Excel, and PowerPoint.

Nice-to-Have Skills:

  • PMP or Scrum certification.
  • Prior experience with market data systems or investment operations.

Soft Skills:

  • Excellent verbal and written communication.
  • Strong organizational skills and the ability to manage multiple priorities simultaneously.
  • Customer-focused with exceptional interpersonal skills.
  • Independent, proactive, and self-motivated.
  • Ability to maintain confidentiality and manage sensitive information effectively.

Education:

  • Bachelor's degree in Business or a related field is required.

Ideal Candidate Profile:

  • Demonstrates a proactive and independent approach with strong initiative.
  • Brings experience from large, global financial services firms.
  • Has deep understanding and experience within investment management and/or capital markets.
