Job Summary:
We are seeking a highly organized and proactive Project Coordinator to support our Business Transformation team within Investment Operations. The ideal candidate will play a key role in coordinating complex, large-scale transformation initiatives across a global investment management environment. This role will provide critical support to project and program managers, helping to ensure timely delivery and efficient resource utilization.
Key Responsibilities:
Project Planning and Coordination
- Assist in updating project plans, schedules, and timelines.
- Coordinate with cross-functional team members to ensure project tasks remain on track.
- Support resource allocation and help ensure efficient use of project resources.
Communication and Meetings
- Schedule and organize internal and external meetings.
- Prepare meeting agendas, record minutes, and track follow-up actions.
- Communicate project updates and maintain consistent reporting to stakeholders and leadership.
Documentation and Reporting
- Maintain accurate and up-to-date project documentation (charters, schedules, risk logs, etc.).
- Create and distribute regular reports on project status, budget tracking, and resource usage.
Risk and Issue Management
- Monitor project risks and issues and support the development of mitigation strategies.
- Coordinate issue resolution with relevant stakeholders.
Administrative Support
- Provide day-to-day administrative support including organizing documentation and managing logistics for project-related events, workshops, and travel.
Must-Have Qualifications:
- Minimum 5 years of project management or coordination experience, particularly in transformational projects.
- Minimum 5 years of experience in capital markets or investment management environments.
- Minimum 5 years of experience working in a globally distributed organization.
- Experience managing or supporting large-scale projects with multiple workstreams and diverse stakeholders.
- Bilingual in French and English (written and spoken).
- Proficiency in Microsoft Office applications including Word, Excel, and PowerPoint.
Nice-to-Have Skills:
- PMP or Scrum certification.
- Prior experience with market data systems or investment operations.
