Job description

Muskoka Algonquin Healthcare (MAHC) is a multi-site organization that includes the Huntsville District Memorial Hospital Site and the South Muskoka Memorial Hospital Site, and together we provide outstanding, integrated care to support people in living their healthiest lives.

ROLE

Reporting to the Manager, Project Management Office, the Project Coordinator is a key member of the Project Management team, responsible for leading lower-complexity projects, supporting larger initiatives, and overseeing the organization’s ongoing revision of policies and processes within the Document Management System (DMS). This role requires a highly organized, self-motivated, and digitally proficient individual who collaborates effectively with internal stakeholders and external partners to ensure projects and process improvements align with organizational strategy and operational priorities.

  • Coordinate small- to medium-sized projects through the project life cycle: Initiation, Planning, Execution, Monitoring and Controlling, and Closing
  • Support the Manager, PMO and Senior Project Managers in planning, managing, and monitoring larger, complex projects from concept through to implementation
  • Work closely with Project Leads (Managers) to ensure successful execution of project goals, including maintaining time, scope and budget requirements
  • Work closely with cross-functional teams to align initiatives with organizational goals, reduce redundancies, and enhance operational effectiveness
  • Facilitate collaboration between departments to ensure the effective implementation and communication of interdisciplinary processes, procedures, and projects
  • Oversee the organization’s large collection of policies and procedures in the Document Management System (DMS)
  • Support managers and subject matter experts with researching, developing and updating policies, procedures, and standards of practice
  • Manage the timeline and revision cycle for updating and maintaining DMS policies & procedures, including document check-out, review distribution, formatting, formal signing authority, and check-in
QUALIFICATIONS
  • Diploma or Degree in Health Administration, Business, Quality Improvement, Project Management, or similar program (required)
  • Minimum 1 year of experience building and maintaining effective team and working relationships
  • Certified Associate of Project Management (CAPM) designation (preferred)
  • Experience in a healthcare setting (preferred)
  • Experience with policy management and/or Document Management Systems (preferred)
  • Experience with project management systems, such as Monday.com, Asana, Jira, Trello (preferred)

ADDITIONAL INFORMATION
Location

Remote/Multi-site. This position requires on-site work at both the South Muskoka Memorial Hospital (SMMH) located in Bracebridge and Huntsville District Memorial Hospital (HDMH) located in Huntsville. This position is not remote and requires regular attendance at our Huntsville and Bracebridge locations. Applicants must reside within 125km of one of our hospital campuses or be willing to relocate prior to starting. *Exceptions will be considered on a case-by-case basis.

Remote work arrangements may be available in accordance with organizational policy.

Hours of Work

Monday – Friday during regular business hours, you may be required to be available occasionally during evenings and weekends according to departmental and organizational requirements.
