Job description

Position Purpose And Summary

The Project Coordinator supports the planning, design, and execution of capital improvement projects across campus. This role works closely with the Project Manager, Capital Projects, to work with consultants, contractors, university stakeholders, and external agencies to ensure the timely and cost-effective delivery of projects in alignment with university goals, budgets, and standards. Projects may include new construction, major renovations, deferred maintenance, and infrastructure upgrades.

Key Areas of Accountability

  • Assist in the coordination of multiple capital projects from inception through completion.
  • Support the Project Manager (PM), Capital Projects with scheduling, budget tracking, documentation, and reporting.
  • Organize and maintain project documentation, including contracts, drawings, permits, RFIs, change orders, meeting minutes, and reports.
  • Schedule and coordinate project meetings with internal and external stakeholders.
  • Monitor project milestones and timelines, proactively identifying delays and potential issues.
  • Assist in preparing and reviewing project scopes, cost estimates, and bid packages.
  • Facilitate communication among design teams, construction contractors, and the university department.
  • Ensure compliance with university policies, state regulations, safety standards, and sustainability goals.
  • Works with the PM to develop and update Standard operating Procedures, Safety Procedures and
  • Support capital planning efforts by maintaining databases, asset inventories, and project dashboards.
  • Support the Project Manager (PM), Capital Projects, with budget tracking, documentation, reporting and invoice processing.
  • Ensure the Expense Tracker is updated weekly and reconciled monthly to Vena.
  • Ensure all vendors' invoices are submitted for payment promptly
  • Develop and maintain an Asset Maintenance strategy.
  • Plan, organize, and implement maintenance services for all campus buildings.
  • Execution of the Facility Services - Service Guide maintenance deliverables, including completion of Service Requests in the prescribed timeline.
  • Ensure preventative maintenance is properly scheduled and implemented.
  • Track utility (electricity, natural gas, water, etc.) performance of the campus facilities and make recommendations for environmental improvements.
  • Ensure drawings for existing facilities are accurate and readily available.
  • Ensure the Computerized Maintenance Management System (CMMS) potential is maximized.
  • Ensure departmental policies and procedures are current and adhered to.
  • Ensure critical assets are identified and critical spare parts are inventoried in preparation for business continuity.
  • Ensure all relevant documentation [JP1] is received from Capital Projects after each renovation or construction project.
  • Responsible for regularly inspecting all TWU assets and communicating with staff and faculty in all buildings.

  • Experience with project management software (e.g., Procore, e-Builder, MS Project).
  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Superior interpersonal skills
  • Excellent verbal and written communication skills.
  • Ability to work collaboratively with diverse stakeholders, including various operational departments, faculty, students, administrators, and contractors.
  • Working knowledge of construction practices, contract administration, and budgeting tracking.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); familiarity with AutoCAD or Revit is a plus.
  • Demonstrated skill in the project coordination of new construction.
  • Able to make independent decisions and use sound judgment in applying TWU policies, rules, and regulations
  • Proven analytical and problem-solving skills.

Standards & Requirements

Education

  • Business or related degree preferred and/or related work experience. Formal training in project management or procurement an asset
  • PMP Certification would be considered an asset.

Experience

  • 3–4 years in a progressive administrative or analytical support role, preferably within the contruction or manufacturing industry.
  • Project Management experience is preferred.
