Qualifications

By taking ownership of these administrative and coordination tasks, the Project Coordinator enables Project Managers to focus on project execution, client relationships, cost control, and subcontractor management. This is primarily an office-based position that supports approximately two to three projects or Project Managers at the same time and will grow alongside the expansion of the project team.

Responsibilities
  • Manage and organize project documentation, including RFIs, submittals, drawings, logs, and other project records to ensure accurate and up-to-date information is readily available.
  • Support Project Managers and Superintendents with day-to-day project coordination, including tracking schedules, procurement activities, change events, and outstanding action items.
  • Create, maintain, and update project records, trackers, and reports to provide clear visibility into project status, progress, and outstanding issues.
  • Coordinate and track submittals and RFIs, ensuring timely preparation, submission, review, and response, and maintain accurate logs for each project.
  • Assist with project scheduling support, including updating schedules, monitoring milestones, and supporting the use of tools such as Gantt charts where applicable.
  • Support procurement tracking by monitoring material and equipment orders, deliveries, and related documentation to keep projects on schedule.
  • Assist with change management by tracking change events, supporting the preparation and processing of change orders, and maintaining related documentation.
  • Contribute to project closeout activities by organizing final documentation, ensuring all records are complete, and supporting the handover process.
  • Communicate proactively with consultants, trades, suppliers, and internal team members to follow up on outstanding items and keep projects moving forward.
  • Provide professional administrative support to the project team, including document control, filing, data entry, and preparation of project correspondence.
  • Support multiple projects simultaneously, balancing competing priorities and deadlines while maintaining a high level of organization and attention to detail.
  • Assist in maintaining strong client communication and customer service by responding promptly and professionally to inquiries and requests related to project documentation and coordination.
Essential Skills
  • 1–3+ years of experience as a Project Coordinator, Project Administrator, Construction Coordinator, Project Assistant, Junior Project Manager, or in a similar project support role.
  • Proven experience managing project documentation, logs, and project administration activities in a construction or project-based environment.
  • Strong organizational and document management skills with the ability to keep multiple projects and records structured and up to date.
  • Demonstrated ability to support multiple projects simultaneously and manage competing priorities and deadlines.
  • Hands-on experience with submittals, RFIs, schedules, and project documentation processes.
  • Strong Microsoft Office skills, including Excel, Outlook, and Word, with the ability to create and maintain spreadsheets, trackers, and reports.
  • Experience creating and maintaining project records, trackers, and status reports to support project visibility and decision-making.
  • Excellent written and verbal communication skills, with the ability to communicate clearly and professionally with internal and external stakeholders.
  • Experience working on projects with values ranging from $50K to $1M.
Additional Skills & Qualifications
  • Experience working in a commercial general contracting environment.
  • Familiarity with Procore or similar construction management software.
  • Experience using Gantt charts and supporting project schedules.
  • Education in Construction Management, Engineering Technology, Architectural Technology, Civil Technology, or a related field.
  • Experience supporting retail, commercial, institutional, mixed-use, or tenant improvement projects.
  • Exposure to procurement processes, including tracking orders and deliveries.
  • Exposure to change management processes, including change events and change orders.
  • Exposure to project closeout processes and final documentation requirements.
  • Highly organized and detail-oriented approach to work.
  • Strong sense of urgency with the ability to follow up consistently on outstanding items.
  • Administrative and process-driven mindset with a focus on accuracy and consistency.
  • Professional communication style with strong customer service skills.
  • Ability to manage multiple deadlines and shifting priorities in a fast-paced environment.
  • Collaborative team player who works effectively with project teams and stakeholders.
Work Environment

This role is primarily office-based, with approximately 90% of the time spent in the office and about 10% on site visits as needed to support project activities. The typical schedule follows a Monday to Friday daytime workweek. The position supports roughly two to three projects simultaneously within a collaborative team environment that values communication, organization, and mutual support.

Pay And Benefits

The pay range for this position is $60000.00 - $90000.00/yr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
