Job summary

Graybar Canada is seeking a Project Coordinator to support the Quotation Department in Calgary, AB. You will assist with price quotes, coordinate supplier submittals, and manage shipments to meet customer requirements, while delivering excellent service.

You will work closely with internal teams, maintain strong supplier relationships, and uphold quality standards. The role is full-time at our Calgary branch with no evening or weekend shifts.

Qualifications

• Customer service or admin experience preferred.
• Knowledge of electrical products is a plus.
• Strong relationship-building with suppliers and internal teams.
• Excellent written and spoken communication skills.

Responsibilities

• Assist Quotation Department with price quoting and related duties.
• Provide value-added customer experience per quality standards.
• Request drawings/documents from suppliers and consolidate submittals.
• Release materials from suppliers per customer requests and submittals.
• Coordinate shipments from multiple suppliers according to customer needs.
• Provide technical support on product selection and application.
• Coordinate shipments of stocked materials to support direct shipments.
• Handle customer service requests (order entry, pricing, expediting, billing, order maintenance, credits, claims).
• Participate in quality improvement to reduce rework and improve service.
• Represent the customer in disputes and claims with Graybar Canada’s suppliers.

Major Responsibilities:

• Assist others in Quotation Department in price quoting and perform other duties as assigned.
• Value-add customer experience that meets the quality standards as defined by that customer.
• Request approval drawings and other related documents from suppliers and consolidate into a single professional submittal to the customer.
• Release materials from suppliers as per the customer requests and approved submittals.
• Co-ordinate shipments from multiple suppliers in accordance with customers’ requirements.
• Provide technical support on product selection and application.
• Co-ordinate shipments of stocked materials to compliment the delivery of direct shipments from suppliers.
• Coordinate the prompt handling of all customer service-related requests in support of our Customer Service Team including, but not limited to, order entry, pricing, expediting, billing, order maintenance, credit and claims.
• Participate in quality improvement teams in an effort to limit rework and improve services.
• Represent the customer in the resolution of all disputes and claims including all those involving Graybar Canada’s suppliers.

Preferred Skills & Experience:

• Minimum Grade 12 education, post-secondary education considered an asset.
• Experience in a similar capacity considered an asset.
• Customer service, administration or inside sales experience an asset.
• Knowledge of electricalproducts and applications preferred but not mandatory.
• The ability to develop and maintain strong relationships with suppliers and internal team members.
• Must exhibit excellent time management, negotiation and organizational skills.
• Ability to prioritize work, be flexible and meet deadlines.
• Ability to work with all levels of employees and management, both internally and externally.
• Must practice excellent spoken and written communication and interpersonal skills.
• Proven proficiency with Microsoft Office products including Outlook, Excel, Word and PowerPoint.
