Job summary

The City of Toronto is seeking a Project Coordinator to support transit expansion initiatives. You will coordinate City activities and liaise with Toronto Transit Commission, Metrolinx, Ministry of Transportation and other stakeholders to advance major transit projects.

Reporting to the Program Director, you will help manage governance, negotiate agreements, and prepare council reports, briefings and meeting materials.

Qualifications

  • Post-secondary education in public policy, planning, economics, business administration, or related field.
  • Experience developing briefing notes, policy papers, reports, minutes and action logs for senior management.
  • Experience coordinating, supporting and facilitating small- and large-scale projects with defined objectives, milestones and deliverables.
  • Experience coordinating multi-stakeholder initiatives and teams to achieve project completion.
  • Proficiency in MS Word, PowerPoint, Excel, Project and Outlook, and ability to manipulate spreadsheets.

Responsibilities

  • Coordinates intra- and inter-divisional and inter-agency working groups and committees to solicit input for transit expansion projects.
  • Implements detailed plans, policies and procedures regarding program requirements including development of charters, work plans and schedules.
  • Reviews and provides recommendations on cross-divisional transit expansion projects, policies and reports.
  • Monitors and summarizes Council committees, agency boards and intergovernmental meetings.
  • Establishes and maintains linkages with City Divisions, agencies and partners for coordination of priorities.
  • Supports senior staff in negotiations of agreements, governance table management and reporting to City Council.
  • Prepares reports, briefings, presentations and speaking material as directed.
  • Provides coordination support to the Program Director and Senior Project Managers.

Job Description

Reporting to the Program Director, Strategic Program Support, the Project Coordinator will coordinate City activities related to transit expansion. In this role, staff will liaise and facilitate effective communication and coordination between City of Toronto divisions, Toronto Transit Commission, Metrolinx, Ministry of Transportation, and other stakeholders, as required for the implementation of one or more of the following projects, the Waterfront East Rapid Transit Line, Scarborough East Rapid Transit, GO Expansion, and/or SmartTrack. This includes working with a multi-disciplinary team of internal and external stakeholders to support the management of agreement negotiation, governance functions, and reporting to City Council.

Major Responsibilities
  • Coordinates intra-divisional, inter-divisional, and inter-agency working groups and committees to solicit input and comments to advance transit expansion projects, protocols and procedures.
  • Implements detailed plans, policies and procedures regarding program specific requirements including development of project charters, work plans and schedules in consultation with internal and external partners.
  • Reviews and provides recommendations on cross-divisional transit expansion projects, policies and reports.
  • Monitors and prepares summaries of various Council committees, agency boards and other intergovernmental tables/meetings as appropriate.
  • Establishes, maintains and fosters linkages to other City Divisions, agencies and intergovernmental partners to ensure effective coordination of transit expansion priorities.
  • Supports senior-level staff in implementing complex projects including in the negotiations of agreements, management of governance tables and reviewing/drafting reports to City Council.
  • Prepares reports, briefings, presentations and speaking material as directed.
  • Provides coordination support to the Program Director and Senior Project Managers on various initiatives including establishing working groups, setting agendas, preparing meeting materials, documenting meeting minutes, following up on action items.
Key Qualifications
  • Post-secondary education in public policy, planning, economics, business administration, or a related field or the approved equivalent combination of education and/or related experience.
  • Experience developing briefing notes, policy papers, reports, minutes and action logs for senior management.
  • Experience coordinating, supporting and facilitating small- and large-scale projects including the definition of project purpose and objective, project activities, milestones and deliverables, monitoring and tracking progress, and communication to stakeholders.
  • Experience coordinating multi-stakeholder initiatives and teams and to achieve successful project completion.
  • Proficiency in a variety of software packages including Microsoft Word, Power Point, Excel, Project and Outlook, specifically the ability to manage and manipulate spreadsheets.
  • Knowledge of municipal government processes and decision-making.
  • Good negotiation and interpersonal skills, and the ability to maintain effective stakeholder relationships.
  • Good verbal, written and oral communication skills with the demonstrated ability to write and present complex information to a variety of audiences.
  • Good political acumen and understanding of public relations and building partnerships while working with sensitive information.
  • Ability to work effectively as a member of a team, collaboratively with others in a multidisciplinary environment and to work independently as required, within tight deadlines.
