What you will be doing:
Working closely with the project team and stakeholders, the successful candidate will provide project services for this project. Duties will include all aspects of project coordination including but not limited to the following:
Plans and organizes project activities; assists in documenting goals, objectives, work packages, schedules, and risks related to the project; identifies technical resources and seeks assistance or information and input as needed; assists in determining the need for external resources; assists in developing, planning, and monitoring budgets; coordinates administrative activities to facilitate project funding; coordinates project evaluations; assists in identifying success measurement standards for each project and/or phase.
Plans, coordinates, and attends project related meetings, taking notes and preparing minutes as requested; provide thought leadership on actions to assist project adhere to goals, objectives, and deadlines; develops and prepares procurement specifications; organizes and tracks product delivery, warranty, and installation in accordance with project milestones; flags to the project manager and assists to track and resolve project issues, and recommends solutions to address budget, scheduling, technology, develops status reports; provides input for changes in departmental procedures, processes, and policies.
Coordinates information sharing between stakeholders and serves as a liaison for both internal and external communications to keep the parties updated during the scope of the project; monitors and maintains project plans, tracking lists, and other project related documents and data; participates in the development, monitoring, and administration of project budgets, approves invoices for payment within defined authority levels, and reviews and reconciles monthly variance reports; prepares internal and external correspondence; drafts, edits, and proofreads various documents; prepares special reports,analyses, and recommendations pertaining to assigned projects; prepares special forms, tools, and writtenprocedures; researches information and summarizes statistical and other findings obtained from specialsurveys and studies.
Participates in the evaluation and selection of project consultants; coordinates contract evaluation and selection processes; coordinates activities between the project team and outside consultants/vendors; monitors and tracks contractor/vendor activities for timeliness and contract compliance; monitors the quality of vendor services and identifies issues to more senior levels.
Produce financial reports including end of month/quarterly and annual reporting on project finances (current spend, spending forecast)
Administration of Project governance paperwork and ensure project gating and funding documentation is completed, reviewed with the project and project manager, and submitted.
Work with Strategic Sourcing to hire resources, and contract extensions for vendors and contractors; assist with contract follow-ups, and Purchase Order maintenance.
On-boarding new hires, coordinate account, system, location access card setup/access. Coordinate hardware preparation, hardware/account setup testing and access card pick up.
Provides training to new hires, introduction to team materials, new hire administration and documentation (e.g., team SharePoint Site, document storage, etc.)
Off-boarding of terminated hires, coordinate account, system, location access card access termination. Coordinate hardware and access card return.
What you must have:
Must have 7+ years of IT project and project coordination experience
Experience with IT Infrastructure is highly desirable
Experience managing project or project financials including producing regular reports.
Previous vendor contract coordination experience.
Excellent demonstrated organizational and time management skills
Strong analytical, communication, and writing skills.
Ability to gather, analyze, and consolidate information from a variety of sources.
Knowledge of MS Office productivity tools (e.g., Outlook, Word, Excel, PowerPoint and Visio).
Experience working with Microsoft Project Online, SharePoint and OneDrive.
Demonstrated accuracy and attention to detail working in a fast-paced environment.
Experience working in a public sector organization is valuable.
