As we grow, we are seeking a detail-oriented and proactive Project Assistant to support our team in executing complex millwork projects with efficiency and excellence.

Position Summary

The Project Assistant provides critical administrative and coordination support to ensure the successful execution of projects. This role bridges communication between design, production, and installation teams, and helps manage schedules, documentation, and client requirements throughout the project lifecycle.

Key Responsibilities

  • Assist Project Managers in tracking and coordinating project milestones, timelines, and deliverables.
  • Prepare and manage project documentation, such as RFIs, submittals, purchase orders, and change orders.
  • Maintain organized project files (digital and physical), ensuring up-to-date records.
  • Support communication with clients, contractors, suppliers, and internal departments.
  • Help coordinate site delivery schedules, installation timelines, and team assignments.
  • Prepare jobsite packages and binders with drawings, specs, and instructions.
  • Follow up on outstanding quotes, orders, and approvals to avoid project delays.
  • Assist with tracking project costs and generating simple reports for billing or forecasting.
  • Attend internal project meetings and take minutes as needed.
  • Ensure compliance with company procedures and quality standards.

Qualifications

  • Diploma or degree in Construction Management, Architectural Technology, Business Administration, or related field preferred.
  • 1–3 years of experience in a project coordination, administrative, or support role—experience in millwork, manufacturing, or construction is a strong asset.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook); experience with Cabinet Vision, AutoCAD, or Procore is an advantage.
  • Excellent communication, organizational, and time-management skills.
  • Ability to multitask and adapt in a fast-paced, deadline-driven environment.
  • Familiarity with construction documents, drawings, and specifications.
  • Positive attitude and a team-first approach.
