Job description

The Role

As a Project Administrator, you will work under the guidance of a Senior Project Manager (or multiple Intermediate/Senior Project Managers, depending on the project scope) in a supportive role, gaining experience in planning and delivering projects.

What You’ll Do
  1. Monitoring: Coordinate and monitor daily tasks to ensure the project progresses on time and within budget. Communicate relevant information regarding progress, risks, and issues to the project management team.
  2. Reporting: Compile project reports and distribute them to relevant team members according to communication plans. Assist in forecasting, preparing, and updating project budgets.
  3. Support Contract Management: Assist in preparing procurement documents and track contract deliverables post-award. Support the management of relationships with external vendors.
  4. Document Control: Ensure all project documents (plans, reports, change requests) are logged and tracked correctly. Attend project meetings, document minutes, and track action items.
  5. Learning Opportunities: Participate in project workshops (such as risk workshops and consultant engagement sessions) to gain exposure to project management principles and learn how challenges are addressed, risks mitigated, and opportunities for improvement identified.

  3. 3+ years of experience supporting engineering, construction, or design projects as a Project Administrator/Coordinator.
  4. Previous experience supporting public sector projects.
  5. Knowledge of project management best practices.
  6. Excellent listening, critical thinking, and judgment skills.
  7. Excellent written and verbal communication and presentation skills.
  8. Proficiency with MS Office Suite, specifically Excel, Word, and Project.
  9. Existing Government of Canada security clearance at the Secret level.
