As a Project Administrative Assistant/Receptionist, you are passionate about the construction industry and have a strong sense of customer service excellence and a people-focused attitude. You will provide administrative support throughout the construction process as a key team member.

What You Will Do
Project Administrative Assistant Duties:
  • Assist the project and APEX team(s) with administrative tasks;
  • Coordinate and communicate effectively with team members, trade partners, manufacturers, consultants, and clients;
  • Utilize Procore and serve as a resource for project team members;
  • Maintain and use internal technology systems efficiently;
  • Support project start-up activities and team processes;
  • Manage project documents, including design documents, RFIs, client submittals, and contracts;
  • Assist with travel arrangements and project billing;
  • Be open to internal career growth opportunities;
  • Support team and project social events and celebrate milestones.
Receptionist Duties
  • Greet and receive guests at the office;
  • Answer and direct incoming calls;
  • Handle mail and deliveries;
  • Ensure office security and access control;
  • Order and maintain office supplies and coffee equipment;
  • Manage calendars and conference room reservations;
  • Maintain cleanliness of office and conference areas;
  • Coordinate office maintenance and communications;
  • Perform clerical duties like filing, photocopying, data entry, and faxing.
This role could be for you if you have
  • At least 2 years of administrative experience;
  • A College Diploma in Office Administration, Health & Safety, or equivalent experience;
  • Knowledge of the construction industry;
  • Excellent customer service skills;
  • Strong multitasking and time management abilities;
  • Experience in project support and team leadership;
  • Effective written and verbal communication skills;
  • Proficiency with computers and enthusiasm for innovation;
  • Attention to detail and organizational skills.
