Your Opportunity

Stantec is seeking a Project Administrative Assistant to support our Program Management Team in delivering major capital projects. The role involves working under the direction of the Senior Project Manager Construction Site Manager (CSM), supporting a large infrastructure program, preferably with experience in mass transit systems or complex healthcare projects.

Your Key Responsibilities
  • Provide administrative support for multiple projects and teams.
  • Prepare, distribute, track, and file project documents including memos, minutes, emails, letters, contracts, reports, specifications, data sheets, amendments, and drawings.
  • Maintain organization charts and flow charts.
  • Produce quality documentation following project templates and requirements.
  • Support document control activities, including filing and organizing documents.
  • Ensure adherence to corporate policies and procedures.
  • Perform other related tasks as required.
Your Capabilities and Credentials
  • 2-5 years of administrative or related experience.
  • Excellent written and verbal communication skills.
  • Strong organizational and interpersonal skills.
  • Proficiency in Microsoft Office Suite.
  • Positive attitude and relationship-building skills.
  • Ability to work collaboratively and independently, remotely and in-person.
  • Ability to handle multiple priorities and stay detail-oriented.
  • Problem-solving skills.
  • Experience with large infrastructure programs, preferably in mass transit or healthcare projects.
  • Knowledge of documentation and revision control is preferred.
  • Experience with documentation control roles is a plus.
  • Good analytical skills and experience with file management and processes, including E-builder, is an asset.
Education and Experience
  • Technical degree, diploma, certificate, or equivalent in a related field, or equivalent combination of education and experience.
  • Minimum of 2-5 years in project administration, coordination, or similar roles.
