Job Overview

We are seeking a highly organized, proactive, and tech-savvy Program Assistant to support the VP Technology (VP) during a high-profile SAP S / 4HANA Cloud transformation. This role is pivotal in coordinating project timelines, managing communications, and ensuring executive focus on strategic objectives during a critical technology transformation.

Key Responsibilities

Support

• Provide daily administrative and strategic support to the VP.
• Manage calendars, appointments, and travel plans related to transformation milestones and vendor engagements.
• Organize executive meetings, track action items, and follow up to ensure timely completion.

Project Coordination

• Serve as the central point of contact for internal and external stakeholders regarding the SAP S / 4HANA transformation program.
• Track deadlines, deliverables, and documentation for project activities related to the VP.
• Support preparation for steering committees, leadership meetings, and executive updates.

Communication & Reporting

• Draft and distribute clear and concise internal communications related to the transformation in collaboration with the Change Management team and communications department.
• Coordinate and prepare presentations, dashboards, and reports in support of transformation status and executive decision-making.
• Maintain confidentiality of sensitive technical and strategic information.

Vendor and Stakeholder Liaison

• Interface with system integrators, SAP representatives, and internal project teams on behalf of the VP when required.
• Help monitor contract obligations and coordinate documentation with procurement and legal teams.
• Track critical risks, issues, and decisions requiring executive attention.

Transformation Office Support

• Coordinate the activities of the SAP transformation office on behalf of the VP including budget tracking, resource alignment, and workshop schedules.
• Assist in managing training schedules, onboarding sessions, and change management communications.

The Recipe For Success

• Well defined experience in supporting Information Technology, or a related field.
• 5+ years of support experience, preferably supporting an executive in a technology-driven environment.
• Prefer Experience working in or supporting ERP transformation projects, preferably SAP S / 4HANA.
• Strong organizational, problem-solving, and communication skills.
• Proficient (expert level) in Microsoft 365, experience with SAP tools (preferred), and project management platforms (e.g. Jira and MS Project).
• Ability to manage competing priorities with professionalism and discretion.
• Understanding of enterprise technology programs and project management practices.
• Exposure to agile or hybrid transformation programs.
• Ability to work independently and demonstrate a high level of initiative.
• Comfortable working with cross-functional and global teams.
