Overview

The Project Accounting Coordinator role provides critical administrative and operational support to the project controller team. Responsibilities include maintaining accurate financial documentation, assisting with cost tracking and reporting, and ensuring data consistency across project control systems. This position plays an integral part in facilitating smooth financial operations within a project-driven environment and contributes to the accuracy and efficiency of project accounting and financial oversight.

Responsibilities

Financial Documentation & Data Management

  1. Organize and maintain financial and project control documentation, including budgets, forecasts, change orders, invoices, and cost reports.
  2. Assist in the collection and entry of project-related financial data into control systems or spreadsheets.
  3. Ensure data accuracy and consistency across project files and databases.

Cost Tracking Support

  1. Help track committed costs, actuals, and variances under the guidance of a Project Controller.
  2. Create and manage the cost codes in the time tracking system to support project controllers and project managers.
  3. Assist in reconciling financial data between internal systems and project reports.

Reporting Support

  1. Assist in generating regular project cost reports.
  2. Help compile data for monthly or quarterly financial reviews.

Invoice & Purchase Order Coordination

  1. Support the tracking and processing of project requisitions and payments.
  2. Maintain logs of vendor invoices and ensure alignment with project budgets and contracts.
  3. Support Project Controllers with customer invoicing as required.

Administrative & Team Support

  1. Schedule meetings and organize documentation for financial reviews.
  2. Maintain organized filing systems for financial and contractual records.

Qualifications

Education/Experience:

  1. Degree in Accounting, Finance, Business Administration, or related field preferred (or equivalent experience).
  2. 1–3 years of experience in an administrative or financial support role; exposure to project controls or accounting is a plus.

Technical Skills:

  1. Proficiency in Microsoft Excel.
  2. Experience with financial systems or ERP platforms (e.g. NetSuite, SAP, Oracle) is preferred.
  3. Strong attention to detail, organizational skills, and a high level of accuracy.
  4. Ability to manage multiple priorities and maintain confidentiality of financial information.

Optional/Preferred Skills

  1. Familiarity with project-based environments (engineering, construction, consulting, etc.).
  2. Basic understanding of financial terms such as budget, actuals, variance, accruals, etc.
