Job summary

Ontario Aboriginal Housing Services seeks a Programs Coordinator to manage and administer current and future funding programs, including Homeownership and Home Repair. You will coordinate delivery, reporting, and liaise with partners across Ontario to support safe, affordable housing for Indigenous communities.

You will work with the Programs Manager, monitor KPIs, prepare applications, and ensure compliance with funding guidelines.

Our Mission is to be a leader in the design, development, and delivery of a sustainable and
culturally appropriate continuum of housing for Indigenous people in Ontario.

We are currently seeking a Programs Coordinator for any of our offices located in Sault Ste Marie, Sudbury, Dryden, Hamilton,
Peterborough, Timmins, North Bay, Ottawa, or Toronto.

As the Programs Coordinator, reporting to the Programs Manager, you will be an integral member of the Programs team, coordinating
the delivery and administration of current and future funding programs, including the Homeownership and Home Repair Programs. You
will also support additional housing-related programs and other non-profit housing providers in the province of Ontario. The successful
candidate will be a goal-oriented, organized, enthusiastic individual who understands and appreciates how safe, affordable housing
contributes to the quality of life and serves as a stable foundation.

Duties and responsibilities will include, but are not limited to, the following:

Key Responsibilities
  • Support the OAHS mission and vision and make significant contributions to the achievement of the corporate strategic plan and organizational goals.
  • Contribute to the achievement of departmental key performance indicators (KPIs).
  • Prepare, review, process, and maintain sensitive and confidential documentation, including legal documents and records requiring a high degree of accuracy, discretion, and attention to detail.
  • Communicate professionally using multiple channels with a wide range of internal and external stakeholders; provide information regarding program activities; respond to program guideline-related inquiries; and refer complex, sensitive, or escalated matters to the appropriate individual.
  • Act as the first point of contact for clients, providing routine program information, mailing application packages, and distributing letters and documents.
  • Intake, review, and process a high volume of program applications efficiently and effectively; communicate with applicants daily regarding application status, requirements, and timelines.
  • Collaborate closely with the Repair Technical Administrator and Titles Department to ensure program guidelines, legal requirements, and deadlines are met.
  • Input purchase orders and invoices into the Business Management System for approval by the Programs Manager; coordinate payment requests with multiple funding sources, contractors, and service providers to ensure payment due dates are met.
  • Coordinate and lead community information sessions to support program promotion and awareness.
  • Maintain, update, and track the progress of approved projects and provide regular status reports for management review and approval.
  • Research, draft, and submit applications for various funding opportunities, as required.
  • Work collaboratively with internal staff, partner organizations, and local, provincial, and federal governments to ensure program success, positive outcomes, and the sharing of wise practices, to enhance sector capacity and demonstrate program value to funders.
  • Coordinate operating and capital funding activities, as required.
  • Perform other related duties as assigned.
Qualifications & Experience

To qualify for this role, the successful candidate will possess the following qualifications, experience, and competencies:

  • Knowledge of and appreciation for Indigenous cultures, with demonstrated values centered on assisting people and communities.
  • Ability to apply an Indigenous approach to work while operating effectively within both mainstream and Indigenous organizational structures.
  • University degree or college diploma in Public Administration, Business Administration, Office Administration, Social Services, or a related field, or an equivalent combination of education and relevant experience.
  • Certified designation from the Chartered Institute of Housing (CIH) is preferred or demonstrated willingness to undertake and successfully complete these studies.
  • Knowledge and understanding of homelessness, addictions, mental health support services, and supportive housing.
  • Demonstrated ability to work independently within a highly motivated, fast-paced, professional, and results-oriented team environment.
  • Working knowledge of applicable legislation and regulatory frameworks to support program administration and ensure compliance with Ministry of Municipal Affairs and Housing standards.
  • Knowledge of budgetary processes and financial management is considered an asset.
  • Strong organizational, investigative, analytical, problem-solving, and decision-making skills to support project review, monitoring, and compliance activities.
  • Strong facilitation, consultation, training, and team-building skills to foster effective partnerships and integrated networks with internal and external stakeholders.
  • Ability to remain flexible and adaptable in a changing work environment with shifting priorities.
  • Excellent conflict management and conflict transformation skills, particularly when working with clients experiencing stress or crisis.
  • Excellent oral and written communication skills, with a collaborative, respectful, and consensus-building approach.
  • Proficiency with computer software, including Office 365.
  • Ability to coordinate multiple projects concurrently and meet stringent deadlines.
  • Ability to quickly learn and effectively use multiple software systems and applications.
  • Demonstrated sound judgment when working with applicants, Programs staff, and management to support the effective delivery of supportive housing and related programs in compliance with legislation and program policies and standards.

This position operates in a fast-paced, service-oriented environment with competing priorities and strict deadlines. This role involves frequent interaction with clients, contractors, law offices, and funding partners, both in person and through various communication channels.

This position will regularly work with sensitive, confidential, and legally binding documents and information, requiring a high degree of accuracy, professionalism, discretion, and adherence to organizational policies and legislative requirements. The role includes direct engagement with members of the public who may be experiencing housing instability, financial hardship, health challenges, or other personal crises. As a result, the employee may interact with individuals who are distressed, frustrated, emotionally vulnerable, or who may display challenging behaviors, including rudeness. The ability to maintain professionalism, empathy, cultural safety, and appropriate boundaries in these interactions is essential.
