How You Will Make An ImpactReporting to the Director-Seniors Support Services, the Scheduler enhances the dignity and quality of life of our clients, visitors and staff by assisting the Director and Staff of the Good Shepherd Centres with scheduling of staff to provide client care and staff work schedules. This includes replacing staff shifts when sick calls, absences, vacation or other needs for replacement, ensuring that statistical information related to the hours of care clients receive and staff work hours is maintained for reporting requirements to funders.
Responsibility, Availability, Hospitality, Adaptability, Quality and Dignity is aided by ensuring that clients and staff are dealt with in a pleasant and timely manner and their requests for changes, appointments, assistance and information are handled effectively and respectfully.
- Observe all health and safety rules and work in compliance with the provisions of the Occupational Health and Safety Act and its regulations.
- Create, coordinate and maintain Seniors Program Staff daily and monthly schedules, ensuring that long range and more immediate changes are facilitated in an accurate and timely manner.
- Maintain database of all staff and authenticate staff worked hours in payroll software (ADP).
- Assist in communication between Staff, Clinical Supervisors and Managers, Program Coordinators, and community partners.
- Function within guidelines of PHIPA and Good Shepherd Centres regarding access to, and sharing of, personal health information of clients.
- Maintain ongoing communication with the designated Seniors Support Services supervisor(s) concerning performance of processes specific to client care and staffing, staffing patterns, themes and challenges.
- Work with Director to maintain records, reports and statistics necessary for program functioning, evaluation and audit.
- Assist in the ongoing effort to monitor and assess program effectiveness.
- Complete and submit bi-weekly time sheets of hours worked.
- Assist in clerical tasks; filing, data pulls, reports and collation of data to ensure client information is uploaded and saved in EMHWare in a timely manner and required reporting is accurate.
- Perform any other duties related to the Ministries of the Good Shepherd Centres as directed by the Director or designate.
What You'll Bring To Our Team- Completion of an Office Administration or Medical Secretary program at the community college level.
- Experience in client and staff scheduling, community-based experience an asset.
- Demonstrated commitment to the mission and values of Responsibility, Availability, Hospitality, Adaptability, Quality and Dignity.
- Proven ability and experience in interacting with older adults, their caregivers, other health care professionals.
- Good understanding of the Hamilton health system, including Homecare an asset.
- Experience in registration, documentation, and scheduling in a medical environment.
- Proven ability in working with patients who experience barriers to accessing health care.
- Advanced skills in database entry and management and in statistical collection. Preference will be given to candidates with experience in Excel, ADP, Vocantis and patient care scheduling software applications.
- CPR/First Aid certification and WHMIS training, an asset.
- Demonstrated ability to adapt in a fast paced and changing work environment, and in a team atmosphere.
- Creativity and flexibility in achieving desired outcomes.
- Hospitable in dealings with clients/public/volunteers/staff, and other key stakeholders.
- Available and responsive to the needs of others.
- Respectful and compassionate demeanor.
- Excellent verbal and written communication, experience in second language an asset.
