The role :

The Program Officer, Mentorship & Engagement’s primary focus is to manage all activities and programs offered through Windmill’s Community Success Hub, our online platform utilizing the Graduway software designed to foster connections between current Windmill clients, former clients (alumni), and corporate volunteer mentors. Reporting to the Associate Director, Development and Strategic Projects, this role is involved with the Windmill mentorship program, job board, networking and speed mentoring, and other events, webinars and resources that benefit our clients.

This role requires an individual who can nurture relationships with our clients and create opportunities for alumni, donors and corporate partners to engage with Windmill’s clients. The successful candidate is self-motivated and results-oriented, with a passion for building relationships. The Program Officer is responsible for establishing a positive experience for our corporate partners, mentors, mentees and clients.

Key responsibilities :

  • Coordinate all aspects of Windmill’s Mentorship Program ensuring that corporate partners, mentors and mentees all have a positive experience
  • Recruit and nurture mentors, including employees of corporate partners, Windmill alumni, and other volunteers
  • Match mentors and mentees using both automated and personalized approaches to ensure high-quality pairings
  • Update mentor-mentee matching sheets monthly for accurate tracking and visibility.
  • Deliver onboarding sessions for mentors and mentees; monitor engagement and resolve issues as needed.
  • Recommend and implement tactical improvements to enhance program outcomes.
  • Coordinate volunteer recognition and report employee engagement to corporate partners.
  • Collaborate with Windmill coaches to streamline mentee referral processes.
  • Work with the marketing team to design and launch promotional campaigns.
  • Monitor feedback channels (e.g., surveys, post-event forms) and refine program delivery accordingly.
  • Generate reports for leadership on mentorship match rates, growth metrics, and program performance.

Development Activities (40%)

  • Use insights from the mentorship program to support fundraising initiatives.
  • Build relationships with mentors and mentees for potential donor conversion.
  • Share impact stories from the mentorship program with the Development team.
  • Represent Windmill professionally in all stakeholder-facing engagements.
  • Organize virtual and in-person networking sessions, workshops, and events.
  • Collaborate with corporate partners and subject matter experts to develop impactful event content.
  • Work with the marketing team to create promotional materials and collateral.
  • Community Success Hub (20%)

  • Plan and execute engagement strategies to improve the user experience for clients, alumni, and volunteers.
  • Maintain and update job postings and the resource library.
  • Manage the Hub content calendar to ensure timely, relevant material.
  • Provide user support and coordinate with the platform provider (Graduway) for enhancements and troubleshooting.
  • Promote Windmill events to ensure they reach the appropriate audiences.
  • Ensure accurate CRM data entry across Asana, FreshSales, and Salesforce.

    Qualifications and knowledge :

  • Three to four (3-4) years of experience working in a community-based, not-for-profit organization preferably serving immigrants, or transferable experience in program coordination and administration
  • Experience in program development and coordination with a focus on career development and mentorship would be an asset
  • Communications and marketing experience with content writing, design, and email marketing would be an asset
  • Previous experience with Graduway from Gravyty would be an asset
  • Excellent English verbal and written communication skills, French is an asset

  • Compensation and benefits :

  • Starting salary range $70,000-$75,000 annually, based on skills and experience required for the role
  • Hybrid work solution with 2 or 3 days in the office, with the balance working from home in Calgary or Toronto.
