Job description

We have an exciting opportunity for a Casual Program Leave Management Assistant to join our team at Columbia View Lodge in Trail, B.C. This position works Monday to Friday, days – 08:00 to 16:00.

What Will You Work On?

Duties

This position performs a variety of administrative support functions and clerical duties related to the planning and processing of employee vacation and leave information. Typical duties may include:

  • Typing a variety of correspondence including letters, memoranda, reports, forms, presentation material, newsletters from rough draft, general instruction and/or recording devices;
  • Coordinating meetings by booking meeting rooms, arranging catering, sending out meeting requests, and typing and circulating agendas and relevant supporting material;
  • Coordinating travel arrangements by booking and confirming flights, vehicles, and accommodation as required;
  • Receiving invoices and preparing staff expenses, reimbursements, and monthly corporate visa statements;
  • Performing patient registration duties and cashier-related duties as required;
  • Providing relevant information to the Purchasing Department for consultant contract generation;
  • Maintaining office supply inventory by placing orders, receiving supplies, and generating purchase orders;
  • Preparing statistical information by gathering data, developing, and formatting charts and graphs using appropriate software;
  • Performing record management duties, setting up and maintaining electronic and manual filing systems;
  • Updating and maintaining web-based communications and department intranet or SharePoint sites;
  • Reviewing and verifying entitlement for vacation, leave of absence, and banked time requests;
  • Updating vacation planning calendars, tracking spreadsheets, and tools.
