About The RoleThe Program Delivery Support Staff plays a critical role in ensuring the smooth operation and success of settlement programming for newcomer clients across multiple programs. This position provides essential support in operations, logistics, and resource management, to enhance the efficiency and effectiveness of program delivery. By coordinating tools, tracking expenses, managing resources, and facilitating client services, the Program Delivery Support Staff ensure that the necessary infrastructure is in place to meet the needs of clients. Their work directly impacts the quality of services offered to newcomers, helping to create a welcoming and organized environment for clients to access the support and resources they need for successful settlement and integration.
In This Role, You Will- Advise, liaise and support relevant facility leadership personnel on issues or concerns requiring additional attention
- Assist in arranging and setting up meetings and activities including venues and logistics
- Ensure all materials required are prepared in advance of meetings, events, activities etc. (i.e., technology, handouts, equipment etc.)
- Support staff monthly expense claims – review for accuracy and content, communicate to Supervisor any concerns for follow up
- Develop monthly and annual calendars outlining due dates for information
- Track staff absences and prepare vacation schedule to ensure programs are covered
- Support the onboarding and offboarding of staff
- Maintain an inventory of and track supplies
- Order supplies, track and submit related invoices when necessary
- Coordinate with external vendors to procure necessary resources (e.g., office supplies, materials for client services, technology tools)
- Assist with program activities related to promotion (i.e., community events, activities and resources)
- Develop flyers, handouts, and presentations for review and approval by Supervisor
- Provide two-deep leadership for activities, events and programming that require additional support
- Ensure that any resources or tools required for client-facing services are in place and functioning. This could include preparing client packages, managing client-related technology, or ensuring that staff have all the resources they need to engage effectively with clients
- Be familiar with and a key contact for staff on database and reporting systems; manuals; attend training events; enter data
- Support the development and updating of necessary recording tools and templates
- Assist in the creation and maintenance of program reports, including status updates, performance metrics, and other relevant documents (collecting, collating and formatting data and program activity information related to outcomes, survey results, targets etc. and submitting summaries to Supervisor as requested)
- Ensure timely submission of reports and documentation in accordance with program deadlines
Education And Skills Qualifications- Relevant education and/or combination of training or experience in human service delivery, settlement service delivery, program coordination, community development or equivalent
- Minimum 2+ years of progressive experience in staff team leadership, program development, coordination, or delivery of community and client-based programming
- Robust understanding of settlement sector as well as cultural competency in working with diverse newcomer populations - lived newcomer experience is a strong asset
- Experience in logistics coordination, managing resources, expense tracking, or providing operational support preferably within a program delivery or service-oriented environment
- Comfortable using digital tools and software to track client information and manage resources effectively
- Proven record of meeting contract deliverables and reporting on outcome achievement
- Strong problem-solving and critical thinking skills, with the ability to adapt programs based on participant needs and community dynamics
- Strong writing and verbal communication skills and ability to effectively write professional program reports
- Experience with maintaining accurate records of program-related activities, including schedules, expenses, and interactions
- Aptitude for analyzing data for trends, accuracy, reporting and sharing with the Supervisor for follow up
- Excellent knowledge of Microsoft Office Suite (Outlook, ACCESS, Excel, Word, PPT), Teams, and Zoom and the ability to learn and adapt to new technologies required for excellent service delivery
- Ability for reliable travel
